Reporting to the Preconstruction Director, the Sr. Proposal Manager will be responsible for managing, developing and writing Request for Qualifications (RFQs), Request for Proposals (RFPs), Expression of Interests (EOIs) and Market Sounding submissions for major infrastructure projects in Western Canada and the Western United States. The Sr. Proposal Manager will have strong technical writing skills and the ability to work in a deadline-driven environment. As part of the pre-construction team, the Sr. Proposal Manager will work closely with internal and external stakeholders to develop high-quality submissions to secure new work.
Time allocation for this position is approximately 70% reading/writing/editing/formatting and 30% organizational and proposal management activities. This position will be based from Aecon's office in Kent, Washington. There will be travel required for meetings; industry events; and coordination of teaming events.What You'll Do Here:Manage and develop Aecon's formal submissions in response to RFQs, RFPs, EOIs, and Market SoundingsLead large proposals with multiple external joint venture (JV) partnersOversee and manage the work of the proposal coordinator and other proposal support staff; Schedule and lead proposal meetings, including working groups and pink, red and gold reviewsDevelop proposal calendars, responsibility matrices and proposal templatesWrite, edit and format proposal sections, management plans, resumes and project sheetsAssign, track and ensure timely delivery of proposal content from internal and external partnersResearch relevant statistics (e.g. tracking previous project experience and work history), project work plans and other sources of information to extract relevant contentSupport additional content development from subject matter experts and site personnelEnsure that all content supplied by the team is compliant with the proposal requirementsOrganize and schedule team meetings, prepare meeting agendas and take meeting minutesPrint, package and deliver final proposal submissions or submit electronically as requiredManage SharePoint or other document management systems (e.g., OneDrive)Perform data entry to maintain accuracy of pursuit reports and schedulingWork with graphic designers to develop JV logos, team branding, binder and tab designs, proposal graphicsEnsure binders, USBs, tabs, covers and other materials are ordered and available for final assembly of proposalsAttend pre-bid meetings, post-bid debriefs and summarize results and lessons learned to report back to the pre-construction teamDrive an inclusive culture to promote equity, welcome different perspectives and foster a sense of belongingWhat You Bring to the Team:Strong communication and writing skills in English languageA University-level degree in English, journalism, communications, marketing, business or related fieldExperience leading large and complex civil infrastructure proposalsExperience leading proposals with large joint venture teamsAdvanced skills in Microsoft Word, Excel, PowerPoint and SharePointAbility to work in a fast-paced, deadline-driven environmentHigh degree of organization skills and attention to detailDemonstrated leadership and accountability with strong interpersonal skillsAbility to work collaboratively and effectively in teamsExcellent time management skills with the ability to plan, manage and prioritize multiple assignments and tasksAbility to gather, synthesize and effectively present technical information for a range of audiencesStrong analytical and problem-solving skillsStrong decision-making skillsA champion of diversity and inclusionAdvanced skills in Adobe InDesign, Photoshop and Illustrator considered an assetMarketing and graphic design experience considered an assetTechnical construction background with a focus in civil, structural, or related discipline considered an assetPay and Benefits: Pay Range: $120,000 - $150,000 USD per year Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions.
