This position has no supervisory duties, is an individual contributor, and reports to the Director of Operations.Essential Job FunctionsAnswers incoming calls from a central switchboard and route to appropriate partyResponsible for voicemail and routing incoming callsGreets and registers all visitors in the reception areaSchedules meetings, activities and room requestsReceives donations from the public and coordinates with the Development Office in processingMaintains cleanliness and appearance of the reception areaCoordinates facility safety drillsManages security program for the front doorsChecks in and out telephones and campus vendor keysChecks in and out campus vehiclesProvides clerical support for staff as assigned, including projects, reports, data entry and updating the telephone extension lists and mailbox labelingEducates donors/vendors regarding delivery processCalls for extra assistance, emergency police, fire or medical assistance as neededMeeting management including location, room set up, agendas, catering, and attendee communicationProcesses all outgoing and incoming mailMonitors and maintains office supplies inventoryOrders general office and copier suppliesFills copy, scan, and fax requestsFront desk coverage dailyFills records requests as neededSchedules and coordinates transportation services for agency vehiclesOther duties as assignedPhysical RequirementsAbility to infrequently lift up to 25 lbs.
