This full-time, in-office position is responsible for creating a professional and welcoming experience for employees, clients, and visitors while supporting office operations, meeting coordination, employee communications, and administrative activities for leadership and business groups.
The ideal candidate is organized, proactive, detail-oriented, and able to successfully manage multiple priorities in a dynamic office environment while delivering exceptional customer service and support.Responsibilities In the role of Receptionist / Administrative Assistant, we'll count on you to:Answer and direct phone calls, deliver messages, greet employees and visitors, and distribute incoming mailMonitor, respond to and file messages sent to the MN/WI Admin Team mailboxMaintain conference rooms and reception area, including meeting room preparations and technical set upAssist with coordination and organization of large in-house or client meetingsProcess incoming/outgoing mail, courier, USPS, UPS, FedEx, etc.Process business card orders for staffCoordinate with property management as needed (i.e., repair requests, lost & found, janitorial concerns, conference room reservations, etc.)Coordinate with office vendors as needed (i.e., vending, coffee machines, plants, etc.)Assist Area Manager, Area Administrative Manager, and Human Resources Manager with executive administrative support, preparation of operating plans, employee onboarding support, and other reports as requestedCoordinate and develop departmental administrative policies and proceduresAssist employees with the submittal and approval of timecardsProduce communication through email, SharePoint, presentations, and other documentsComplete word processing and formatting for letters, memos, reports, labels, and other documents as requestedProvide administrative support to all business groups as needed, including administrative project work with printing, mailing, and data entryCoordinate employee engagement eventsAssist and coordinate with other administrative staff to complete required support activitiesProvide guidance to employees as necessaryPerform other duties as neededPreferred qualifications:Associate's degree preferred3 or more years of experience in a professional environmentMust be available during core business hours, Monday through FridayPreference given to local candidatesStrong organizational skillsStrong attention to detailRequired Qualifications:High School diploma or equivalentSelf-motivated, detail-oriented professional, ability to multitask a mustProficiency with MS Office including Word and OutlookAbility to handle confidential informationFlexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environmentExcellent verbal and written communication skills including grammar, punctuation, proofreading, spelling and telephone skillsAn attitude and commitment to being an active participant of our employee-owned culture is a mustOur Commitment:As employee owners, we all have a role in creating an inclusive environment where each of us is welcomed, valued, respected and empowered to bring our authentic selves to work every day.
