  • Coordinate logistics for new practice openings, expansions, and office relocations.
  • Assist with operational transition tasks, such as managing insurance website eligibility access requests, preparing patient notification letters, and collaborating with Business Development on branding crosswalk submissions.

  • Plan, track, document, and report on all phases of assigned project lifecycles.
  • Maintain master project schedules, track milestones, allocate resources, and oversee equipment coordination to ensure on-time deliverables.
  • Conduct regular audits of project plans, timelines, and budgets to ensure accuracy and alignment with organizational goals.

Vendor Management & Logistics

  • Serve as a direct coordination point for external vendors, contractors, and installers.
  • Conduct on-site walkthroughs and oversee scheduled equipment deliveries and facility setups at our Tech Center/Regional Office and clinic locations.
  • Follow up rigorously on open orders, deliverables, and service agreements to ensure vendor accountability.

Cross-Functional Collaboration & Administration

  • Facilitate project meetings, document action items, and maintain transparent status communications across clinical operations, IT, facilities, and executive leadership.
  • Utilize project management platforms (Wrike or comparable tools) to maintain auditable, organized task structures and documentation.
  • Provide leadership support to internal teams; assist with training, process onboarding, and workflow documentation as required.

Qualifications & Requirements

Education & Experience

  • Agility: Fast learner capable of ramping up quickly on internal systems, processes, and operational standards.
  • Communication & Negotiation: Clear verbal and written communicator skilled at driving alignment across internal departments and external vendor partners.
