Operations CoordinatorColectiva seeks a passionate and motivated person to manage Colectiva's day-to-day operations. This includes financial and office management responsibilities as well as typical HR tasks. The Operations Coordinator plays a key role in the administration of the organization's finances and implementation of internal policies. An ideal candidate will be an excellent communicator with the ability to multitask well.Responsibilities:Collaborate with contracted accountants to maintain financial books, including classification of all income and expensesEnsure efficient, accurate and compliant financial management in accordance with Colectiva's financial policiesAssist accountants in the completion of annual audit and IRS Form 990Input individual donations into donation software and routinely send out acknowledgment letters to donorsDevelop annual budget in tandem with the Finance Team and contracted accountantsAdminister accounts payable and receivableMake regular deposits and ensure proper documentationIssue in-house checks when necessaryAdministration of staff benefits including healthcare and PTOMaintain personnel filesOrientation and on-boarding of new-hires including guiding new hires that have less knowledge of collective structuresImplement and routinely update Colectiva's Employee Handbook as policies are developed and/or updatedMaking sure all staff proposals adhere with Colectiva's consensus policies and that reviews of those policies take placeCoordinate and conduct annual work evaluations of all Colectiva staff membersPrepare and submit quarterly invoices and financial reports to grantorsProvide direct deposit and related financial information to funders upon requestSupport with funder relationship building and engagementProcurement of office supplies and materialsFacilities and utilities management, ensuring prompt rent and utilities payments and maintaining contact with property managers in case of any needed repairsMaintain an organized filing system for quick retrieval of informationMaintain updated inventory of technological assets, periodically update remote device management services and ensure all employees have access to the technology/software they need to perform their job dutiesRenew memberships, insurances, and licenses needed for state and federal business compliance and general operating requirements on an annual basisQualifications:Demonstrated commitment to immigrant rights and social justice issues, and CLPs organizational values 2+ years of relevant experience in Operations, Finance, and/or Nonprofit administration preferredStrong verbal and written communication skills and commitment to follow throughModels transparency and accountability to solve problemsExcellent interpersonal and relationship-building skillsAbility to manage multiple projects at once and prioritize tasks as neededAbility to thrive in a changing environment and to remain flexible and adaptiveHigh degree of ownership, and able to proactively identify opportunities and propose solutionsMust be a self-starter, quick learner, and work independently while also being collaborative and a fantastic team playerProficient in Gsuite, Zoom and ExcelProficiency in Spanish is preferred but not required.How to Apply:Please send resume, cover letter, responses to questions listed below, and list of three references to All documents must be attached in PDF format in one email with "Operations Coordinator" in the subject heading.
