Executive AssistantThe Executive Assistant provides high-level administrative and operational support to senior executives, enabling them to focus on strategic leadership and decision-making. This role acts as a trusted partner, managing complex calendars, communications, and projects while serving as a liaison between the executive and internal or external stakeholders. The Executive Assistant ensures seamless coordination of executive activities and contributes to the overall efficiency and effectiveness of the leadership team.Essential Duties & ResponsibilitiesExecutive Support: Manage and optimize the executives' calendars, including scheduling meetings, appointments, and travelPrepare meeting agendas, take minutes, and ensure timely follow-up on action itemsDraft, proofread, and manage internal and external communications on behalf of the executiveCommunication and Liaison: Serve as primary point of contact between the executive and internal/external stakeholdersScreen and prioritize emails, calls, and requests to ensure efficient communication flowManage the Investor Relations inboxMonitor the Investor Relations website and ensure updates are made in a timely mannerManage various press release processes, including the quarterly earnings release and drafting the announcement of the earnings release dateMaintain professionalism and confidentiality in all interactionsMeeting and Event Coordination: Organize and coordinate meetings, conferences, and special eventsEnsure all logistics are handled, including venue booking, catering, and technology setupPrepare and distribute materials in advance of meetingsCoordinate meetings with investors, sell-side analysts, and other external stakeholdersManage the logistics for the quarterly earnings webcastTravel and Expense Management: Arrange complex domestic and international travel itinerariesProcess expense reports and reconcile travel and business-related expensesProject and Task Management: Support the executive in managing key projects and initiativesTrack deadlines, deliverables, and follow-ups to ensure timely executionConduct research and compile data to support decision-makingFacilitate quarterly credit agreement complianceAdministrative Operations: Maintain organized filing systems (digital and/or physical)Order office supplies and manage vendor relationships as neededAssist with onboarding and coordination for new team membersPerforms other duties as requested or assigned.Minimum QualificationsHigh school diploma required, Associate's or Bachelor's degree preferredMinimum of 4+ years experience providing administrative support to senior-level executives. Demonstrated experience managing calendars, travel, and communications in a fast-paced environmentExcellent organizational and time management skillsStrong written and verbal communication abilitiesHigh level of discretion and confidentialityProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams)Ability to manage multiple priorities and adapt to changing demandsStrong interpersonal skills and professional demeanorProactive, resourceful, and solution-orientedAbility to work independently and collaborativelyAttention to detail and commitment to accuracyHere is what you can expect when you join our Village as an Executive Assistant (Business Offices): A community first, company second culture based on Core Values that really matter.
