Become a part of our team!The Document Controls Specialist compiles and maintains control records and related files to release blueprints, drawings, and engineering documents to manufacturing and other operating departments by performing the following duties.Responsibilities include the following:Track documents for project managers, clients, and vendorsTrack, maintain and file all Document Control transactionsProcess project specific documents (drawings, data sheets, etc.) for revision and approvalExamines documents such as blueprints, drawings, change orders, and specifications to verify completeness and accuracy of dataConfers with document originators or engineering liaison personnel to resolve discrepancies and compiles required changes to documentsPosts changes to computerized or manual control records, releases documents, and notifies affected departmentsCompile and maintain control records and related files to release blueprints, drawings, and engineering documents to the client, and to the manufacturing, construction and other departmentsPrepare requests for reproduction of documents when neededMonitor the distribution and reconciliation of process or reference documentsCreate received document report and distribute applicable documents to engineeringCreate various document status reports as requestedCompile, print and copy Operation and Maintenance Manuals as needed for various projectsOrganize, print and compile bid documentsProvide travel administrative support and coordinationReviews, reconciles and processes staff credit card statementsMonitors visitor access and issues passes when requiredResearches, orders, receives, and maintains office supplies including business card, nameplates and equipmentAssists with department and company events (all logistics)Catering, order meals as and when requestedAssist with special projects and workflow process improvementsDirects and prioritizes standards for the screening of incoming mail, using expert judgment and knowledge. Performs simple distribution and mailing of documents, answering telephones, sorting and routing mail, making photocopies, picking up mail, etc.Drafts written responses or reply by phone or email when necessary.Respond to regularly occurring requests for information.Attends management meetings, creates the agenda by coordinating with the management team, summarizes the meeting in the form of meeting notes, and distributes timelyWorks independently and within a team on nonrecurring and ongoing projects. Coordinates with the building management for service-related issues and work ordersEducation/Experience: High school diploma or equivalent GED or one year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.Computer Skills:To perform this job successfully, an individual should have knowledge of the following:Microsoft Office: Word, Excel, PowerPoint, Outlook: Beginner to IntermediateWindowsHourly Rate from $20.00 USD
