Cultural Arts Education Assistant

The City of Tracy is excited to offer an opportunity for a creative and community-minded Cultural Arts Education Assistant to support our growing Cultural Arts Program. This role assists with both arts education and the exhibition program, helping bring meaningful cultural experiences to residents of all ages. As part of the education team, the Assistant will help prepare and lead hands-on classes, workshops, and activities. We're looking for someone who is both an artist and an emerging educator — someone who enjoys working with students, supporting curriculum delivery, and fostering an inclusive, creative learning environment.

The position also plays a key role in supporting gallery operations, including coordinating with artists, assisting with curation, and helping install and maintain exhibitions. Candidates with gallery experience or familiarity with art handling are strongly encouraged to apply. Under general supervision, performs duties related to the Arts Education Program (AEP) at the Grand Theatre Center for the Arts, including class registration and sales, marketing and social media, class development and class catalog support; maintains AEP records, monitors and teaches activities and classes; and performs related duties, as assigned.

Receives general supervision from assigned supervisory or management staff. Exercises no direct supervision over staff.

This is a technical classification performing a wide variety of cultural arts program work. Incumbents serve to relieve the supervisor of performing administrative detail work and are expected to function with very little direct oversight. Successful performance of the work requires the frequent use of tact, discretion, and independent judgment, knowledge of departmental and City activities, and extensive staff and public contact. This class is distinguished from other cultural arts classes by the nature, scope, complexity, and diversity of responsibilities involved in the Arts Education Program function. This class is distinguished from the Cultural Arts Program Coordinator in that the latter provides coordination and oversight for all curriculum and programming, patron services issues, and direction of staff.

EXAMPLES OF TYPICAL JOB FUNCTIONS (Illustrative Only)

  • Performs daily AEP activities, including opening and preparing for sales, processing registration, refunds, and transfers via telephone or in person; records transactions; maintains AEP inventory, prepares for and monitors classes, works with contract instructors, teaches classes, workshops, camps and activities as needed.
  • Operates related computer systems; maintains records and files, financial records, and sales reports.
  • Assists with development of the class and course descriptions for the AEP class catalog and promotional materials; promotes classes and programs through flyers, the website, and social media.
  • Responds to questions and inquiries from theater patrons regarding performance and ticketing information.
  • Responds to questions and inquiries from patrons regarding classes and workshops conducted in the facility.
  • Prepares cash deposits from sales, art gallery purchases, and class registrations as required.
  • Assists with training part-time staff and/or volunteers on AEP procedures and systems.
  • Performs other related duties as assigned.

KNOWLEDGE OF

  • Principles, practices, methods, techniques, procedures, and service delivery needs related to AEP operations and services.
  • Principles and procedures of recordkeeping, report preparation, and cash collection and handling.
  • Business arithmetic and basic statistical techniques.
  • Record keeping principles and procedures.
  • Techniques for providing a high level of customer service by effectively dealing with the public, vendors, contractors, and City staff.
  • The structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.

  • Computers and software programs (e.g., Microsoft software packages, online ticketing and registration software, website and social media platforms) to conduct business functions, compile, and/or generate documentation.

ABILITY TO

  • Understand the organization and operation of community classes and programming, community events, and operations necessary to assume assigned responsibilities.
  • Maintain facilities and equipment in a clean, safe, and secure manner.
  • Respond to and effectively prioritize multiple phone calls and other requests for service.
  • Make accurate business arithmetic and statistical computations; accurately process cash transactions.
  • Perform administrative support work with accuracy, speed, and minimal supervision.

EDUCATION AND EXPERIENCE

Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:

Equivalent to completion of the twelfth (12th) grade supplemented by college level coursework in accounting, business administration, communications, arts education, arts administration, recreation administration, fine arts, or a related field and one (1) year of progressively responsible experience involving responsible customer service, arts education class development and instructing, cashiering, or related area. Experience in Arts Education Program operations is desirable.

LICENSES AND CERTIFICATIONS

  • Possession of, or the ability to obtain, a valid Class C California driver's license upon appointment.
  • May be required to complete National Incident Management System (NIMS) Training.

PHYSICAL DEMANDS

Must possess mobility to work in a standard theater and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. Standing in and walking between work areas is frequently required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. Positions in this classification frequently bend, stoop, kneel, and reach to perform assigned duties, as well as push and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects up to 50 pounds with the use of proper equipment. ENVIRONMENTAL CONDITIONS Employees work in an office environment with moderate to loud noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures. WORKING CONDITIONS This job requires working a flexible schedule including evenings and weekends as needed. DISASTER SERVICE WORKER All City of Tracy employees are, by State and Federal law, Disaster Service Workers. The roles and responsibilities for Disaster Service Workers are authorized by the California Emergency Services Act and are defined in the California Labor Code. In the event of a declaration of emergency, any employee of the City may be assigned to perform activities which promote the protection of public health and safety or the preservation of lives and property. Such assignments may require service at locations, times, and under conditions that are significantly different than the normal work assignments and may continue into the recovery phase of the emergency. If a "Local Emergency" is declared during the employee's shift, employees will be expected to remain at work to respond to the emergency needs of the community. If a "Local Emergency" is declared outside of the employee's shift, employees must make every effort to contact their direct supervisor or department head to obtain reporting instructions as Disaster Service Workers.
