This role provides dedicated, high-touch support to multiple attorneys, with responsibility for entity management support, senior housing license tracking, administration of legal systems and software, and the continuous improvement of legal processes and templates across the corporate compliance, corporate transactions, and legal operations functions.Entity Management, Regulatory & Compliance SupportSupport maintenance of the corporate entity portfolio, including assisting with formations, foreign qualifications, dissolutions, and good-standing and annual report filings across multiple jurisdictionsDraft and maintain minute books, organizational charts, and entity records; track ownership structures and registered agent informationTrack and manage senior housing licenses and renewals, including application preparation, deadline tracking, and coordination with operators, agencies, and regulatorsMaintain the compliance calendar and recordkeeping for corporate compliance programs, policies, controls, training, and reporting mechanismsSupport documentation and recordkeeping for data governance, cybersecurity, and emerging-technology compliance mattersMonitor regulatory deadlines and filing obligations and proactively escalate issuesCorporate Transactions SupportSupport corporate and capital markets transactions through diligence coordination, document organization, closing checklists, signature pages, and closing bindersMaintain transaction files, data rooms, and version controlTrack key transaction terms, dates, and post-closing obligationsLegal Systems & OperationsSupport the implementation, administration, and day-to-day management of legal systems and software (e.g., entity management, contract lifecycle, matter management, and document management)Manage intake, assignment, and tracking of legal requests through internal systemsMaintain data integrity across legal systems, ensuring alignment between system records and source documentsProcess Development & Continuous ImprovementSupport the development and continuous improvement of legal processes, templates, forms, playbooks, and standard workflowsIdentify workflow gaps and implement practical improvements across the legal functionContribute to system enhancements and automation initiatives, including exploring AI tools to streamline legal operationsPosition Requirements5+ years of paralegal or legal operations experience, preferably supporting corporate, regulatory, compliance, or transactional functions (in-house or law firm)Experience with entity management and corporate recordkeeping; familiarity with licensing or regulatory tracking (senior housing or another regulated industry a plus)Experience administering or supporting legal systems and software (entity management, contract lifecycle, matter management, or document management)Strong drafting, organizational, and data management skills with high attention to detailBachelor's degree and/or paralegal certificate preferred; notary commission a plusAbility to manage multiple priorities and deadlines while supporting senior stakeholdersStrong written and verbal communication skills and sound judgment in handling confidential and privileged informationSalary range of $100,000 to $120,000, commensurate with experience, with generous cash incentives
