  • Qualify leads, schedule consultations, and follow up on pending sign-ups

  • Run conflict checks and open new case files

Case Management (30%)

  • Manage a caseload of personal injury matters from intake through settlement using Clio Manage

  • Request and track medical records, bills, and police reports

  • Communicate regularly with clients, providing status updates and empathetic support

  • Coordinate with medical providers, insurance adjusters, and opposing counsel

  • Maintain case deadlines, calendars, and statutes of limitations

  • Prepare demand packages and settlement documentation

  • Update case statuses and notes in SmartAdvocate consistently

Receptionist / Front Office (10%)

  • Greet office visitors warmly and manage the reception area

  • Screen and route incoming calls; take accurate messages

  • Handle incoming/outgoing mail, deliveries, and scanning

  • General administrative support as needed

What We're Looking For

REQUIRED: Bilingual in English and Spanish — fluency in both languages is a MANDATORY requirement for this role.

  • 1+ years in a law firm (PI preferred) OR 2+ years customer service/medical office with strong admin skills

  • Experience with Clio Grow and Manage

  • Excellent phone presence and written communication

  • Strong organizational skills and attention to detail

  • Ability to handle sensitive information with confidentiality

Preferred: PI/medical terminology familiarity, notary certification

Compensation & Benefits

  • $40,000–$55,000 based on experience

  • Health insurance stipend up to $500/month

  • Paid time off + paid holidays

  • Growth opportunities as the firm expands
