Role Summary
The Warehouse Manager is the single point of accountability for on‑site material receiving, storage, tracking, staging, and distribution to ensure the right materials and tools are at the right location, in the right condition, at the right time—directly enabling field productivity and schedule adherence.
Key Responsibilities
- Responsible for managing 3 or more material handlers.
- Vendor & delivery coordination: Serve as primary on‑site contact for vendors, carriers, and suppliers; confirm ETAs 48/24 hours in advance; coordinate prefab deliveries and documentation; elevate delays to PM/Superintendent.
- Receiving & inspection: Verify deliveries against POs/packing lists/submittals; inspect for damage and spec compliance; photograph and quarantine non‑conforming items; log receipts same day.
- Material specification validation: Cross‑check mill certs, submittals, and product data; validate OFCI items against owner submittals; maintain a Spec Validation Log.
- Yard and storage management: Maintain clean, organized, labeled yard and warehouse; store materials off the ground and protected from weather; maintain yard layout map and segregated zones.
- Issuing & staging: Issue materials only against signed requests; pre‑stage per 3‑week lookahead; deliver staged materials to correct area before shifts; track issued materials by cost code.
- Tools & equipment: Manage tool room check‑in/check‑out; perform weekly tool inventories; coordinate calibration and servicing of test equipment.
- Invoice & documentation control: Reconcile invoices to POs and receiving logs; flag discrepancies within 24 hours; maintain invoice‑to‑PO reconciliation log.
- Reporting & communication: Send daily delivery updates and weekly material reports; attend coordination meetings; respond to field/PM requests promptly.
- Returns & non‑conformance: Manage return shipments and non‑conforming material logs; document actions and notify procurement/PM immediately.
Documentation & Records
- Daily: Material Receiving Log; Material Issuance Log; Tool Room Log.
- Weekly: Invoice Reconciliation Log; Vendor Delivery Schedule; Prefab Delivery Tracker; On‑Hand Inventory; OFCI Status Tracker; Weekly Material Report (Friday by 4 PM).
Qualifications & Skills
- Experience: 2–3 years in construction logistics, warehouse, or materials coordination on commercial/mission‑critical projects preferred.
- Knowledge: Material submittals, OFCI processes, prefab coordination, and construction cost coding.
- Technical skills: Proficient with material tracking systems, MS Excel, and basic inventory tools.
- Certifications: Forklift/telehandler certification required; equipment operator certifications current.
- Physical: Ability to work outdoors, climb ladders/stairs, and lift up to 35 lbs.
- Communication: Strong written and verbal skills; able to produce timely reports and elevate issues.
- Other: Valid driver’s license; ability to coordinate with vendors and owner representatives.
Professional Standards & Safety
- Non‑negotiables: Never sign for unverified deliveries; never issue materials without signed requests; never accept materials that fail spec without quarantine and notification.
- Safety: Comply with all site safety requirements; operate material handling equipment only with current certification; complete daily JHA/JSA before lifting or handling; maintain MSDS/SDS for stored chemicals; report incidents immediately.
- Response expectations: Proactively communicate delivery status; elevate any issue that will impact field productivity by more than 24 hours to the Superintendent same day.
