Village Clinic Office SpecialistThe Village Clinic Office Specialist provides essential administrative support to ensure efficient clinic operations and coordinated patient care in Ouzinkie. This role serves as the primary point of contact for patients and visitors, supporting registration, scheduling, referrals, and travel coordination. The position plays a key role in enhancing access to care, maintaining accurate records, and delivering excellent customer service in a rural healthcare setting.Key ResponsibilitiesSupports the organization's mission, goals, quality standards, and patient-centered medical home philosophy while demonstrating KANA's core values of Courtesy, Caring, Respect, Sharing, and PrideUpholds KANA's Code of Ethics by conducting all professional activities with honesty, integrity, fairness, and respectProvides exceptional customer service to patients, families, staff, and community members in alignment with KANA's mission and valuesMaintains strict confidentiality and compliance with HIPAA, Privacy Act requirements, and KANA policiesGreets and assists patients, visitors, and callers in a professional and courteous manner; directs inquiries appropriatelyServes as the primary point of contact for patient scheduling, care coordination, and appointment reminders; identifies and helps address barriers to careCompletes accurate patient registration, including verification of demographic, financial, and insurance information in the electronic health record systemScreens patients for eligibility for alternative resources and assists with enrollment in programs such as Medicaid, Medicare, WIC, Denali KidCare, and VA benefitsCoordinates with Purchased and Referred Care (PRC) to support patient referrals and eligibility for specialty servicesAssists with patient travel coordination, including securing transportation, lodging, and required authorizations for medical travelEnsures timely communication of updated registration and billing information to KANA Patient ServicesMaintains clinic schedules, calendars, and community postings for provider visits and health eventsManages incoming phone calls, messages, and patient portal communications; routes appropriately and responds in a timely mannerMaintains accurate logs, records, and reports in compliance with AAAHC accreditation standardsMonitors clinic and office supply levels; orders and restocks inventory to support daily operationsEnsures the clinic environment remains clean, organized, and operational, including basic equipment oversightProvides administrative support within the clinic, including patient screening and assistance with care coordination as neededAssists with patient transportation when necessary, including use of clinic or personal vehicle in accordance with policyPerforms errands such as mail and supply pickup and assists with transport of providers and visitorsParticipates in travel for training and required meetings in Kodiak, surrounding communities, or off-island locationsQualificationsHigh school diploma or equivalent requiredExperience in administrative support, healthcare, customer service, or office operations preferredKnowledge of medical office procedures, patient registration, and insurance processes preferredFamiliarity with HIPAA and patient confidentiality standards preferredWork ScheduleKANA's standard work schedule is 37.5 working hours per week, typically consisting of 7.5 paid working hours per day plus a one-hour unpaid lunch break (total of 8.5 hours on site per day).Our ValuesKANA's work is guided by Courtesy, Caring, Respect, Sharing, and Pride.
