The Role
The Vice President of Data and Systems is a foundational hire on the Aviva platform team. You will own the firm's data, analytics, and operating systems strategy end-to-end — defining how every partner practice connects into a unified data environment, what we measure, how we visualize it, and how our underlying systems (practice management, phones, inventory, accounting, HRIS, marketing) work together to make our operators' lives easier.
This is a build role. You will inherit a defined toolset (Corral Data as our data/BI platform, Zenoti as the dominant practice management system) and a clear mandate, but most of the architecture, integrations, dashboards, KPI definitions, and systems standards across the platform are yours to design. You will be the senior voice in the room on every data, reporting, and systems decision — translating operator needs into a coherent technical roadmap, and translating data back into decisions practices can act on.
You will start as an individual contributor with a clear path to build a small team (data analysts, integration support) as the platform scales.
Key Responsibilities
- Lead the integration of every Aviva partner practice into Corral Data (or other BI tools) as practices join the platform, including new acquisitions
- Own the data architecture: source systems, pipelines, definitions, refresh cadence, data quality, and governance
- Maintain and continuously improve the platform's analytics environment, ensuring data is trusted, timely, and accessible
2. Dashboard development and deployment
- Design, build, and maintain operating dashboards in Corral Data (or other BI tools) for practice owners, platform leadership, and functional teams (finance, operations, marketing, clinical)
- Iterate based on user feedback; ensure every dashboard ties to a decision someone is actually making
- Roll out new dashboards and reporting to partner practices with appropriate training and change management
3. KPI definition and practice management expertise
- Partner with practice owners, the Aviva operations team, and functional leaders to define, document, and standardize the KPIs that matter for a med spa business — clinical productivity, retention, revenue per visit, injector utilization, marketing funnel conversion, inventory turns, and more
- Become Aviva's in-house expert on Zenoti (and other practice management systems used by partners), including its data model, reporting capabilities, configuration, and integration surface area
- Translate KPI definitions into precise, auditable calculations in source systems and in Corral Data (or other BI tools)
4. Systems integration and digital visibility
- Map the full systems landscape across partner practices — practice management (Zenoti and others), phone/communications, inventory, accounting, HRIS, marketing tech, and beyond
- Identify integration, automation, and consolidation opportunities that reduce manual work and increase visibility for owners and the platform
- Set platform standards where appropriate; preserve practice autonomy where it matters. Drive measurable improvements in operating efficiency and data quality
5. Cross-functional partnership
- Serve as the trusted data and systems partner to every functional leader at the platform and to every partner practice owner
- Support M&A integration: scope and execute the data and systems onboarding for each new partner practice
- Communicate clearly and credibly with non-technical audiences — partner practice owners are entrepreneurs who want answers, not jargon
What success looks like in year one
- All current Aviva partner practices fully integrated into Corral Data with reliable, automated daily refreshes
- A defined, documented Aviva KPI framework adopted across the platform
- A core set of standard dashboards in production and actively used by practice owners and platform leadership
- A clear, prioritized roadmap for systems integration and automation across at least three of the major system categories (phones, inventory, accounting, HRIS, marketing, etc.)
- A repeatable, time-bound integration playbook for onboarding new partner practices to the Aviva data and systems environment
Required qualifications
- 8+ years of progressive experience in data, analytics, business intelligence, or business systems roles, including significant time in a leadership or senior IC capacity
- Demonstrated ownership of a multi-location or multi-entity data environment — healthcare services, retail, hospitality, dental, or similar multi-site business
- Hands‑on expertise with at least one modern BI/analytics platform and strong SQL skills
- Experience working directly with practice management systems, vertical SaaS, or other line-of-business operating systems — including extracting, modeling, and integrating their data
- Proven ability to define KPIs and reporting frameworks with operating leaders, not just deliver dashboards on request
- Experience with systems integration work — APIs, middleware, vendor evaluations, data flows across business‑critical applications
- Strong communication skills with non‑technical stakeholders; ability to operate credibly with both practice owners and executive leadership
- Bachelor's degree or equivalent practical experience
Preferred qualifications
- Direct experience with Zenoti , or with another major medical aesthetics / dermatology / dental / wellness practice management platform
- Direct experience with Google Analytics (GA4) and marketing revenue attribution reporting from marketing campaigns in Google Ads, Meta Ads, VoIP systems
- Experience in medical aesthetics, dental, dermatology, or another multi‑site healthcare services platform
- Experience deploying similar embedded analytics / data warehouse platforms across multi‑entity environments
- Experience in a PE‑backed or PE‑quality platform environment, including M&A integration work
- Background standing up a data and systems function from a near‑greenfield starting point
- Working knowledge of accounting systems (QuickBooks, Sage Intacct, NetSuite), HRIS platforms, VoIP/contact center systems, and marketing platforms common in multi‑site healthcare
Who you are
- You move fast and ship work. You'd rather deploy a useful dashboard this week and iterate than design the perfect one for six months.
- You're as comfortable in a partner practice's back office as you are in an executive review. You ask good questions, listen well, and build trust with operators.
- You take pride in clean data, well‑defined metrics, and systems that just work. You also know when \"good enough\" is the right answer.
- You enjoy building. You see a partly‑built function as an opportunity, not a problem.
- You believe entrepreneurs deserve great tools, and you want to be the one building them.
Compensation and benefits
- Competitive base salary commensurate with experience: $145,000 - $170,000
- Performance‑based annual bonus
- Long‑term incentive / equity participation in the Aviva platform
- Benefits stipend, paid time off, and paid holidays, with additional benefit offerings as the platform grows
