Crystal Run OBGYN, part of Optum, has an immediate opening for a friendly, patient focused and detail-oriented Unit Clerk OBGYN to join our team. The Unit Clerk OBGYN is responsible for the completion of set processes and protocols. Works cooperatively with all members of the care team to support the vision and mission of the organization, deliver excellent customer service and adhere to Lean processes. Supports the teams in meeting financial, clinical and service goals.
Location: 95 Crystal Run Road, Suite 401, Fourth Floor, Middletown, NY 10941
Schedule: Monday through Friday for a 37.5-hour work week, between 8:00 am to 5:00 pm. The schedule will be determined by the supervisor upon hire.

Primary Responsibilities
- Greets and registers patients in a prompt, pleasant and helpful manner; instructs, directs, and schedules patients and visitors
- Receives payments from patients, issues receipts and posts payment data
- Adheres to standards of professionalism set by the Practice and maintains professional appearance
- Maintains HIPAA confidentiality in all communications regarding patient, Practice and staff
- Works as part of a team focused on quality patient care; supports on-site training for new Patient Services employees
- Keeps informed of new/revised Policy and Procedures, Standards of Care and incorporates these into practice
- Attends mandatory quarterly staff meetings/huddles and completes mandatory education timely
- Handles difficult situations with tact, professionalism and HEART
- Accurately documents patient complaints and concerns and escalates appropriately
- Maintains attendance, punctuality and a positive work attitude
- Interacts with clinical staff to keep patients informed of appointment status
- Verifies insurance eligibility and coverage; confirms demographic and insurance information at time of visit
- Scans insurance cards and photo IDs into the system; reviews and completes registration forms; obtains required signatures
- Provides and reviews Authorization to Release Health Information upon patient request
- Discusses balances due and collects payments as required; activates MyChart per guidelines; provides After Visit Summary per guidelines
- Executes end-of-day check process to total and balance collections
- Manages check-in process in EPIC; schedules/cancels/reschedules as ordered by physician
- Obtains HMO referrals as needed for maximum reimbursement
- Communicates with management or other departments using appropriate templates
- Maintains supplies and equipment; keeps reception and waiting areas neat and organized
- Closes office as needed and may be required to set the alarm
- Maintains clear and professional communication with internal and external customers
- Demonstrates flexibility in schedule to meet patient and office needs
- Participates in rotating schedule for holidays and weekends, if applicable
- Cross-trained in all specialties to ensure continuity of service
- Maintains kiosk representative station when assigned; assists patients with check-in and inquiries
- Performs other tasks as required by supervisory/managerial personnel
- Responds to emails promptly and professionally
Required Qualifications
- High School Diploma/GED (or higher)
- 1+ years of customer service or healthcare-related experience
- Intermediate computer proficiency (including multi-site web browsing with multiple monitors)
Preferred Qualifications
- Experience as a receptionist in a healthcare setting
- Experience with electronic health records (EPIC)
- Experience with scheduling programs
- Ability to learn and apply job functions and basic medical terminology

Pay is based on several factors including but not limited to local labor markets, education and work experience. The hourly pay range for this role is $16.00 to $27.69 per hour for full-time employment. We comply with all applicable minimum wage laws.
