  • Listen carefully to parents' concerns, gather relevant information, and accurately document messages in the electronic health record (EHR).
  • Route clinical questions, symptoms, and concerns to the appropriate physician or clinical team member for review.
  • Recognize urgent or time-sensitive concerns and follow established office procedures for promptly escalating them to the appropriate clinical staff.
  • Coordinate and schedule pediatric appointments based on the direction and availability of the clinical team.
  • Assist with referral coordination, including communicating with families and outside offices and helping ensure necessary information is available.
  • Support the team with prior authorization administrative tasks and follow-up as needed.
  • Communicate appointment instructions, office procedures, and other non-clinical information clearly and professionally.
  • Work closely with physicians and clinical staff to help ensure patient messages and administrative needs are addressed efficiently.
  • Maintain accurate, timely, and thorough documentation in the EHR.
  • Protect patient privacy and maintain strict adherence to HIPAA and practice confidentiality policies.
  • Provide exceptional customer service while interacting with families, physicians, nurses, medical assistants, and other members of the practice.
  • Assist with general administrative and patient-support tasks as needed to help the office run smoothly.
Qualifications & Experience:
  • Previous experience in a pediatric, medical office, healthcare, customer service, or administrative setting preferred.
  • Pediatric office experience preferred.
  • Experience with phone triage, patient communication, scheduling, referrals, or EHR systems preferred.
