Transportation Administrative Assistant and Payroll CoordinatorReports to: Director of TransportationTerm: Full Time, 52 weeks per year, 8 hours per dayGeneral Description: The Transportation Administrative Assistant and Payroll Coordinator will coordinate and oversee administrative and finance duties as assigned by the Director of Transportation to ensure that the office operates efficiently and smoothly.
The role of the Transportation Administrative Assistant and Payroll Coordinator is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety, and the effective processing of payroll.Main Job Tasks and Responsibilities:Maintain office services which include answering and directing telephone calls and radio dispatch and incoming visitorsAssists transportation staff in handling necessary paperwork and communicating with district personnelMaintain department logs and communicate to appropriate managers to ensure resolutionResponsible for monitoring the department specific hiring steps and assist with recruitingDepartment liaison with Finance and Payroll Departments in matters related to requests for payroll.Responsible for processing and submitting payroll to the Payroll Department for school bus drives, school bus monitors, mechanics and security personnel and assists in other transportation payroll processing, as neededAssist Transportation Director, as needed, in updating and communicating department procedures to transportation staffAssist the Transportation Director, as needed in processing accounts payable and receivableManages office supply inventory and orders, as necessary, including uniformsIssues staff IDs; fobs for transportation staff and distributing and collectingWorking knowledge of all transportation specific software in order to assist in routing, as needed, and inquiries into routes by other District staff; parents and community partnersParticipate in department committees as necessaryOther duties as assigned by the Director of TransportationEducation and Experience: High School Diploma or equivalentMust have effective problem solving skills and be able to work positively with potentially difficult people in demanding situations while working toward resolutionStrong customer service orientation and excellent verbal and written communication skills including maintaining a professional behavior at all times while communicating and working with other department staff; district staff; parents and community partnersKnowledge of Power Schools and District software preferredPrevious experience working in a school transportation environment preferredExcellent work habits and attendance record with a commitment to meet deadlines and to meet the needs of MCAS students and staffBe proactive, attentive and responsive, as the situation deemsKnowledgable in Google Docs, Sheets, etcSalary and Benefits: Commensurate with degree and related experience Benefits: Per Staff and Administrator HandbookThe Michigan City Area Schools does not discriminate on the basis of the Protected Classes of race, color, national origin, sex (including transgender status, sexual orientation and gender identity), disability, age, religion, military status, ancestry, or genetic information, which are classes protected by Federal and/or State law (collectively, "Protected Classes").
