General Description:
Under the general guidance of the Senior Director of Training & Events, the Training Operations Specialist will be responsible for helping to organize the full lifecycle of the Firm’s 100+ annual virtual training programs to include planning, production, and execution for webinars and workshops, as well as assisting with other client-related events. This position also provides customer service to clients and attendees and assists in departmental administrative duties.
Duties and Responsibilities:
Virtual Training Programs
Serve as the primary operational lead for virtual and hybrid training events, ensuring a high-quality participant and speaker experience from planning through post-event follow-up. Responsibilities include:
- Execute event timelines, project plans, and production checklists to ensure successful program delivery.
- Create and configure Zoom meetings, webinars, and related event settings.
- Coordinate with speakers before and during events, providing technical guidance and support.
- Review, proofread, and prepare PowerPoint presentations, handouts, and other training materials to ensure accuracy, consistency, and quality.
- Facilitate virtual and hybrid events, serving as host, moderator, and technical lead as needed.
- Set up and manage audience engagement tools, including polls, chat, Q&A, breakout rooms, and attendance tracking requirements for continuing education credits.
- Monitor registration payments and coordinate follow-up with unpaid registrants.
- Coordinate participant communications through the registration and learning management systems, including enrollment, confirmations, reminders, and post-event messaging.
- Maintain accurate event records, documentation, and electronic files in accordance with departmental procedures.
- Support learning management system administration, including course setup, enrollment management, reporting, and learner support.
- Travel occasionally to support in-person and hybrid events and provide on-site production assistance.
- Perform other duties as assigned.
Experience / Qualifications
- Bachelor’s degree in Marketing, Business, Hospitality, or a related field required
- Minimum 2-4 years of virtual event planning experience, preferably in professional services or associations
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) required
- Experience producing and facilitating virtual events using Zoom Meetings, Zoom Webinars, or similar online event platforms
- Strong organizational and project coordination skills, with the ability to manage multiple priorities and deadlines simultaneously
- Excellent written and verbal communication skills, with a demonstrated ability to work effectively with speakers, clients, partners, and other stakeholders
- Exceptional attention to detail and commitment to delivering high-quality work
- Poise and professionalism in fast-paced environments, with the ability to remain calm under pressure
- Familiarity with learning management systems (LMS) platforms preferred.
- This position is based in our office and requires in-person attendance five days per week

The good faith base salary range for this position is up to $74,000 per year. The actual salary rate offered to candidates will depend on a variety of factors, including without limitation, years of relevant experience, subject matter expertise, education, demonstrated skills, and the candidate's overall qualifications for the position as assessed by the Firm. This position is bonus-eligible.
