The firm provides outside general counsel, corporate, intellectual property, trademark, commercial leasing, franchise, employment, and growth-related legal services.

We work closely with clients at key stages of business growth — from launching and protecting brands to negotiating agreements, managing trademark portfolios, structuring business relationships, and navigating the legal decisions that come with expansion.

Role Description

Shah Grossi Law & Counsel is seeking a California-based, part-time Trademark Portfolio Manager / Senior IP Paralegal to support the firm’s growing trademark practice.

This role will assist with trademark portfolio management, docketing and deadline tracking, USPTO status checks, renewal and maintenance reminders, Statement of Use and extension deadlines, specimen collection, client follow-ups, filing preparation under attorney supervision, and routine trademark portfolio coordination.

The role may also include preparing trademark status charts, organizing assignment and ownership records, coordinating client intake materials, assisting with copyright filings, and supporting the firm’s attorneys with IP-related reports, summaries, and administrative prosecution tasks.

This is a part-time/fractional role to start. California-based candidates are preferred/required, and remote or hybrid arrangements may be considered depending on experience and availability.

Qualifications

  • Several years of experience as a trademark paralegal, IP paralegal, docketing specialist, or trademark portfolio manager in a law firm or in-house legal department.
  • Strong working knowledge of U.S. trademark prosecution, USPTO filings, Office Action deadlines, Statements of Use, extensions, renewals, assignments, and maintenance filings.
  • Experience with trademark docketing systems and deadline management.
  • Excellent attention to detail, organization, and follow-through.
  • Clear and professional written communication skills.
  • Ability to communicate with clients regarding routine portfolio updates, deadlines, document collection, and filing materials.
  • Ability to work independently while coordinating closely with attorneys and firm leadership.
  • California-based candidates only.
  • Paralegal certificate, bachelor’s degree, or equivalent professional experience preferred.
