Grant-Funded Position At Women, Infants and Children Program (WiC)This grant-funded position at Women, Infants and Children Program (WIC) is responsible for providing intermediate-level clerical and interpreting duties at WIC clinic sites throughout Chester County. Seeking a Bilingual applicant (English and Spanish) is preferred. The ability to communicate and work with a wide variety of culturally diverse participants with limited supervision is required.
Ability to obtain and maintain confidential information is crucial. Reliable vehicle and valid driver's license required. This position requires criminal background and child abuse clearances.Essential DutiesReceptionist/customer service duties (answer phones, make outgoing calls, direct calls, greet visitors).Typing and data entry (prepare and distribute lists, transcription, maintain statistical data, proofreading).Take and transcribe meeting minutes.Clerical duties (fax, copy, print, etc.).Maintain databases, logs and spreadsheets.Sort and distribute incoming mail.Maintain and order supplies.Filing and indexing (locate and pull files, re-file, update and maintain records).Perform special projects as assigned (e.g., research, training, run errands, etc.).Perform other duties, tasks and office functions, as required (e.g., attend meetings, facilitate meetings, etc.).SSS IV conduct independent participant assessments, provide nutrition education, prescribe food packages, and take on advanced clinical, advanced administrative assignments, and program support responsibilities.Pre-Clinic DutiesContact pre-applications, referrals, and interested applicants to screen for eligibility and schedule enrollment appointmentsMake reminder phone calls and send text messages to participantsFollow up with all no-show participantsPrepare, organize, and maintain clinic materials and suppliesTranslate written materials as neededPrepare reports using WIC systemClinic DutiesDistribute and explain WIC benefits to new and existing participantsCompletes routine data entry and documentation in PA WIC MIS (PENN).Schedules appointments and maintains participation records.Load EBT cards and troubleshoot EBT redemption issuesDetermine eligibility (income, household size, ID, residency, benefits)Performs Hemocue testing to assist nutritionists when needed.Provide basic nutrition educationProvide Farmers Market Nutrition Program servicesTranslate verbally for nutritionists as neededProvide and document basic information on WIC nutrition and health servicesConduct and document complete participant assessmentsPerform and interpret anthropometric (ht, wt) and Hemocue results and document in WIC MISConduct participant screenings using probing questions to assess health, nutrition, and socioeconomic statusObtain and document medical and dietary historiesDevelop individualized care plans for follow-up visitsSelect and deliver targeted nutrition education based on participant needs.Identify and document WIC nutrition risk codesDeliver and document nutrition education, including breastfeeding promotion and supportDevelop nutrition care plans for low-risk participantsPrescribe and tailor WIC food packagesParticipate in meetings and continuing educationConsult/refer participants to NEC, CPA, Breastfeeding Coordinator when situations exceed scopePost-Clinic DutiesFollow up with participants as neededEncourage compliance with referrals through follow-upDocument services and update records in PA WIC MISPrepare and review reports in PA WIC MISEnsure accurate documentation of clinical services and outcomesOther Duties:Attend required meetings and trainingsParticipate in outreach activitiesAnswer clinic phone calls and messagesMaintain clinic suppliesPromote and support breastfeedingSchedule appointmentsAssist with training new staffManage WIC inboxCommunicate with external providers (e.g., doctors' offices) to verify participant information.Qualifications/Preferred Skills, Knowledge & ExperienceQualifications / Requirements:High School Diploma or General Education Degree (GED).Minimum of one year of general office experience.Intermediate skills in using a personal computer and various software packagesExcellent verbal and written communication skills.Strong typing skills (minimum of 50 wpm).Ability to use office machines (fax, copier, calculator, etc.).Strong interpersonal skills.Strong grammar and spelling skills.Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.Ability to work as part of a team.Flexibility.Ability to interface effectively with all levels of county management.Preferred Skills, Knowledge & Experience:Associate's degree from an accredited college or university with courses in Office Administration, or equivalent combination of education and experience.Excellent ability to establish priorities, work independently, and proceed with objectives without supervision.Customer service experience.Ability to establish priorities and carry tasks to completion.Strong ability to handle and resolve recurring problems.Ability to multi-task.Accurate and detail oriented.Ability to follow office protocol.Strong knowledge of county policies and procedures.Ability to use common sense
