Subrogation Support Specialist
Fleet Response is seeking a qualified Subrogation Support Specialist to join our Subrogation team. This position offers a remote work arrangement for candidates who reside outside the Northeast Ohio area. Local employees may work from our corporate office in Hudson, Ohio, based on departmental needs and established workplace guidelines.
Job Summary
The Subrogation Support Specialist manages low-complexity subrogation claims while providing administrative and operational support to the Subrogation team. This role is responsible for reporting claims, gathering documentation, preparing subrogation demands, coordinating recovery efforts, maintaining claim files, and ensuring accurate claim handling in accordance with client requirements. The Subrogation Support Specialist works closely with clients, insurance carriers, drivers, repair facilities, collection agencies, attorneys, and internal team members to support the recovery process while delivering exceptional customer service.
Essential Duties and Responsibilities
The essential duties and responsibilities include, but are not limited to, the following:
- Review new subrogation claims to verify insurance information and match policies prior to reporting claims.
- Research insurance carriers to ensure accurate reporting and claim routing.
- Report subrogation claims to the appropriate insurance companies for both Auto and Heavy Equipment departments.
- Manage a dedicated inventory of claim files while following established client parameters.
- Maintain organized follow-up activities to ensure timely claim progression.
- Respond to calls and questions from drivers, clients, repair facilities, insurance carriers, and internal departments.
- Deliver professional, responsive, and high-quality customer service throughout the recovery process.
- Gather, review, and upload claim documentation into the claims management system.
- Obtain driver and witness statements when needed to support claim investigations.
- Receive, review, and upload police reports while verifying claim details and correcting missing or inaccurate information.
- Gather liability determinations and consult with client insurance carriers as necessary.
- Document all claim activity accurately and thoroughly within the claims management system.
- Prepare subrogation demand packages in accordance with department guidelines.
- Pursue recovery opportunities within applicable statutes of limitations.
- Contact responsible parties to negotiate settlements in compliance with the Fair Debt Collection Practices Act (FDCPA).
- Review returned mail, perform skip tracing, and research current contact information.
- Research applicable state laws to support claim handling and recovery efforts.
- Refer appropriate files to collection agencies and coordinate with outside collection partners and attorneys.
- Obtain settlement approvals from clients as needed.
- Review incoming payments and close claim files in accordance with client expectations and handling requirements.
- Meet or exceed established individual and team recovery goals.
- Perform other duties and special projects as assigned by management.

- Previous customer service or administrative experience.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities while maintaining attention to detail.
- Basic computer proficiency, including Microsoft Office, email, internet, and business software applications.
Preferred Qualifications
- Previous claims handling or insurance industry experience.
- Experience with subrogation, collections, fleet management, or automotive claims.
- Experience reviewing insurance information and claim documentation.
- Experience working with insurance carriers, collection agencies, or legal partners.

Physical Demands & Work Environment
- Work is performed in a professional office or remote work environment.
- Requires prolonged sitting, typing, telephone use, and computer work.

- Occasionally lift or move up to 10 pounds.
- Requires close visual attention to review claim documentation, reports, correspondence, and computer screens.
- Regular use of hands, wrists, and fingers is required for keyboard and computer tasks.
- Must be able to hear and process detailed information during telephone and virtual conversations.
Work Schedule
Typical work schedules include:
- Monday through Friday, 8:30 a.m. – 5:30 p.m.
- Monday through Friday, 8:00 a.m. – 4:30 p.m.
- Monday through Friday, 8:30 a.m. – 5:00 p.m.
- Monday through Friday, 8:00 a.m. – 5:00 p.m.
Final schedules are based on departmental needs, business requirements, and manager approval. This position may be performed remotely by employees who reside outside the Northeast Ohio area. Local employees may work from Fleet Response's corporate office in Hudson, Ohio, in accordance with departmental workplace guidelines.
