Job Title

Under the direction of the assigned manager, provide advanced support services to students in various District programs and services including various categorically funded programs; to refer students to other District services, community agencies, the general public, and opportunities as appropriate; and to perform a variety of tasks relative to assigned area of responsibility. This is a generic classification serving at the journey level in terms of student issues and then solutions.

Responsibilities and Duties

Essential functions include:

  • Performing advanced technical and administrative duties pertaining to specialized District programs; coordinating the technical administrative aspects of program planning and development.
  • Assisting and performing complex customer relations work to educate and market program services to businesses, organizations, potential program participants and the general public; performing assessments of organizational needs in order to develop and/or modify program goals.
  • Serving as a lead worker, planning, coordinating and monitoring the work of subordinate technical and clerical support staff; scheduling, assigning and monitoring the activities of part-time and/or student workers.
  • Serving as a technical resource to others regarding the most complex program activities and issues; serving as the District liaison with outside agencies, groups and individuals regarding program support and activities.
  • Assisting and/or overseeing the day-to-day operations of a program office or site.
  • Performing comprehensive case management services for program participants; matching students with program services; networking with other service providers and making appropriate referrals.
  • Planning and coordinating outreach programs and activities; including the use of office space, by employers, college representatives and others.
  • Planning, presenting and delivering oral and visual presentations, orientations, workshops and seminars to students or community members on behalf of the program; meeting with employers to promote and offer job employment services from the college; participating on committees and task forces as assigned.
  • Planning and coordinating special activities, field trips, job fairs, on campus recruitments and other events; maintaining master calendars; preparing informational newsletters and bulletins, highlighting upcoming events.
  • Overseeing and monitoring student participation in assigned programs and services; monitoring and evaluating program activities and procedures; planning, developing and presenting recommendations to improve technical methods and techniques of program administration.
  • Performing complex research on internal and external data, methods, mechanisms and processes; performing advanced technical data analyses and comparisons; compiling, preparing and presenting data to management for evaluation.
  • Entering, maintaining, tracking, evaluating and presenting complex data maintained in manual and/or automated systems; developing and running complex computerized queries; tabulating and summarizing data; identifying trends and concerns; preparing summary reports.
  • Explaining and interpreting complex program policies, regulations and operational procedures to people contacting the office such as faculty, students, staff and the general public.
  • Reviewing, verifying and processing program-related forms, applications and other documents based on applicable laws, regulations, policies and procedures; determining program/service eligibility; performing follow-up actions as needed.
  • Meeting with program participants to collect and review transcripts, test scores and other academic progress documents; providing technical information regarding transfer requirements and/or career goals; reviewing and tracking progress related to educational and career plans; assisting program participants in completing college enrollment, financial aid, scholarship and other applications.
  • Organizing, planning and developing work accomplishment timelines.
  • Maintaining supply and equipment inventories; recommending needed purchases; preparing purchase requisitions; receiving and processing invoices and forwarding for payment.
  • Establishing and maintaining complex file and record systems, including those for confidential and sensitive materials.
  • Independently responding to complex inquiries and correspondence; preparing information and data requested for administrative review; preparing reports, files, correspondence and other documents; may develop and prepare visual presentations, flyers, and graphic materials.
  • Providing information and support services to students in various District programs and services.
  • Designing and developing promotional literature, pamphlets, forms, and displays of the various services offered by the District; virtual help desk support; updating web pages and social media.
  • Organizing market events and workshops; contacting and making arrangements for speakers; coordinating facilities and resources.
  • May process financial transactions or contracts; initiate requisitions and purchase orders, as required.
  • Performing related duties and responsibilities as assigned.
Qualifications

Knowledge of:

  • Principles and procedures of student interviewing and assessment.
  • Program goals, guidelines, policies, procedures and eligibility requirements of assigned program or service.
  • Current issues and trends relative to assigned areas of responsibility.
  • Principles and techniques of job search including resume writing, interviewing and follow-up.
  • Principles and procedures of record keeping.
  • Standard office procedures, methods and equipment including computers, internet research, database and MS Office software applications.
  • Basic webpage and social media operations.
  • Pertinent Federal, State and local codes, laws and regulations and the California Education Code.

Ability to:

  • Provide assistance and information to students with educational or vocational barriers.
  • Provide information to students and the public regarding availability of District programs and services.
  • Determine eligibility and matriculation requirements for new and transfer students.
  • Recognize and understand student needs and make appropriate referrals.
  • Provide testing services to individual students and in support of various campus programs.
  • Respond to a wide variety of requests and inquiries from students, faculty, staff and the public.
  • Effectively present information to small and large groups.
  • Work independently and as a member of a team.
  • Prioritize assignments; organize and work on several projects simultaneously.
  • Work in a dynamic, fast paced, and high demand environment.
  • Communicate clearly and concisely, orally and in writing.
  • Establish and maintain cooperative and effective working relationships with all employees and others encountered in the course of work.

Education and experience: Any combination of experience and training that would provide the required knowledge and abilities is qualifying. A typical way to obtain the required knowledge and abilities would be:

Education: Associate's degree from an accredited college or university with major course work in business administration, education or a related experience field.

Experience: Four years' experience providing information and career assessment services or a related field to students.
