Billing & Program Support Specialist (Clinical Services)

Location: Oakland, CA Employment Type: Full-Time (On-site) Schedule: Monday-Friday, 9:30 AM-6:00 PM

Job Summary

We are seeking a detail-oriented Billing & Program Support Specialist to support clinical operations, billing processes, and administrative functions within a behavioral health setting. This role focuses on maintaining accurate records, supporting billing workflows, and assisting clinical teams with administrative needs.

Key Responsibilities
  • Open and register new client program records after completed sessions.
  • Support clinical teams with timely and complete registration paperwork.
  • Complete accurate and timely service data entry for billing purposes.
  • Ensure client diagnoses are accurately matched between EHR systems and billing platforms.
  • Track and support completion of annual assessments and required documentation.
  • Monitor client discharges and complete discharge documentation.
  • Generate reports to support accurate data entry and reporting needs.
  • Assist with monthly reconciliation between billing and EHR systems.
  • Archive hard files and support client file closure processes.
  • Assist clients with record requests.
  • Attend required trainings to stay updated on billing system requirements.
  • Support new client intake and scheduling as needed.
  • Assist with additional administrative and program support tasks as required.
Qualifications
  • Minimum 2 years of experience in a data entry role with strong accuracy and attention to detail.
  • Previous experience in a medical or behavioral health environment preferred.
  • Experience with EHR systems preferred.
  • Knowledge of HIPAA policies and confidential client information handling.
  • Experience with workflow improvement and process development preferred.
  • Proficiency in Microsoft Word, Excel, and Google Suite.
  • Strong organizational, communication, and time management skills.
  • Ability to manage multiple priorities and work collaboratively with clinical and administrative teams.
  • Knowledge of Medi-Cal billing or county programs is a plus.
