Job Overview

Title: Admin Assistant

Key Responsibilities

• Provide high‑quality client assistance and managerial support to team members and executives.
• Oversee schedules, coordinate meetings, and support office culture initiatives.
• Assist with new hire onboarding and complete various regulatory tasks.
• Collaborate with senior staff to plan and execute division events.
• Maintain, review, and audit office documentation and correspondence.
• Submit cost reports and manage financial cycles as directed.
• Ensure accurate scheduling for travel itineraries and project timelines.
• Provide support to Sr. Administrative Assistants and perform additional duties as needed.

Qualifications

• Education: High school diploma, GED, or equivalent.
• Experience: Minimum of 2 years in administrative support or client‑service roles; experience in managerial assistance preferred.
• Skills: Excellent client‑service communication, strong organizational and multitasking abilities.
• Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with new applications.
• Ability to handle confidential information with professionalism and discretion.
• Proactive problem‑solving and innovative approach to daily tasks.
• Strong interpersonal skills, able to collaborate across teams and with leadership.
• Fluency in English and proficiency in using a PC and office equipment.

Additional Requirements

• Current U.S. citizenship or work authorization is required; no sponsorship will be provided.
• Position is based in Dallas, TX; employees must be onsite at least three days per week as scheduled by the division.
• Work acceptable in a flexible environment, including occasional emergency coverage and travel.
• Demonstrated ability to maintain a polished professional appearance in line with company standards.
• Minimum age of 18 years.
