Full-Time Year Round Front Desk ReceptionistOffice hours: Monday thru Friday 7:30am to 4:00pm with 30 minute lunch - summer hours for June and JulyFollow school calendarJob Title:Office AssistantDepartment:Administration/Psychology Behavior HealthEducation Level and Certification:High school diploma or equivalent.Reports To:ESU 13 Administrator and Psychology Behavior Health DirectorTerms of Employment:Schedule 6/240 days / ClassifiedPerformance Responsibilities and Job TasksReceptionist Responsibilities:Greet, welcome, and direct guests, clients, and employees with a professional and friendly demeanor.Answer, screen and forward incoming phone calls.Maintain a clean, organized, and welcoming reception area.Operate office equipment such as but not limited to: fax/copiers, laminating and cutting materials, door answering system, create badges, camera, and basic knowledge of conference room equipment.Receive, sort, and distribute daily mail and deliveries, packages, faxes and other materials received at the front desk. Check in packages in coordination with business office procedures. Postage Machine maintenance, reloading, and running reports for billing to departments.Good computer skills to use Google suite of applications, Canva, maintain staff directory on website, and various other software products used at ESU 13.Manage and track checkout of vehicles via checkout book and shared calendar.
Coordinate with facilities for vehicle maintenance.As part of the Safety committee work with the Safety Director to know how all safety protocols are to be administered for the Sidney building. Help run drills for safety procedures at the Sidney building.Assist with hospitality arrangements for all conference rooms: including scheduling, set-up/clean-up, accommodations and anything else as needed.Skills to learn to implement and suggest new office procedures as they are developed and implemented.Participates in ESU staff meetings, projects and committees as assigned.Perform other tasks or duties as signed by the ESU 13 Administrator, Director or other supervisors.Complies with the Standards for ESU 13 Code of Ethics.Office Assistant Responsibilities:Serve as a contact point for receiving, ordering, organizing, and distributing of materials including annual COOP purchasing and training registration/planning.Coordinate, schedule and organize meetings and training as requested by the Psychological and Behavioral Health department.Make travel arrangements related to travel requests.Support service providers through online scoring.Assists in insurance credentialing, contracting and billing duties for the Psychological and Behavioral Health Department.Support for grant completion and maintenance to include: data entry, record keeping and reporting.Receive purchasing requests from staff and enter into an online system.Maintain and organize the departmental asset lists, coordinate related materials, and prepare documents for yearly submission.Collects and keeps record information pertinent to department services, mental health grants, insurance and billing information.At-Will Position.
