Onsite Full Time Management & Operations

The Charles Group is hiring a Senior Project Manager with content experience to drive delivery on a high-volume technology account working across video production, campaign creative, paid media, and always-on social, and working with production companies and producers to scale into a major live-action video and executive keynote slate this fall. You will own a defined project book end-to-end: schedules, budgets, vendor coordination, client communications, and asset trafficking. This role requires equal fluency in traditional project management and video production workflow.

Key responsibilities

  • Own end-to-end delivery for a slate of concurrent projects: timelines, milestones, resourcing, status reporting, and client communications.
  • Work with Producer and Production company to manage video production workflow across the full lifecycle — storyboards, look development, R1/R2 animatics and teaser edits, full edit rounds, client review cycles, and final delivery.
  • Coordinate production logistics with the executive-producer layer: production bids, casting, crew and vendor planning, call sheets, and shoot scheduling.
  • Run structured client review and approval cycles (R1–R3 creative rounds, board/look-dev approvals, final file sign-off), including multi-stakeholder and co-brand partner approval chains.
  • Own budget management: weekly burn tracking against scoped fees, proactive scope-change escalation at defined burn thresholds, and change-order documentation.
  • Manage asset trafficking and handoff — packaging final files to media teams for campaign launch, and managing retouching/color-grading vendor workflows.
  • Maintain the delivery system of record: task assignment, hours tracking, resourcing forecasts, and intake assessment for new statements of work.
  • Run internal standups and cross-functional coordination across strategy, design, copy, motion, and media teams.

Required qualifications

  • 5–8+ years in agency project management, integrated production, or project management partnering with producers, with direct ownership of client-facing delivery. Must understand the production workflow but will be working with a producer. This is NOT a producer role.
  • Hands-on experience managing live-action video or content production — bids, crew/vendor coordination, call sheets, and multi-round post-production edit cycles.
  • Demonstrated budget ownership on fee-based scopes: burn tracking, forecasting, and scope-change management (you have prevented overages, not just reported them).
  • Experience running formal, multi-round client review and approval processes with senior enterprise stakeholders.
  • Advanced proficiency in an enterprise project-management platform —Adobe Workfront strongly preferred(task assignment, hours logging, trafficking workflows).
  • Excellent written client communication and meeting management.

Preferred qualifications

  • Experience on Fortune 500 / enterprise technology accounts, or in co-branded partner-approval environments.
  • Event, keynote, or executive-presentation production experience.
  • Familiarity with paid-media trafficking handoffs and asset-spec management (display, social, TTD/programmatic resizing packages).
  • PMP, CSM, or equivalent certification.

Tools & platforms

  • Required: Adobe Workfront (or comparable: Asana, Wrike, Monday), Google Workspace / Microsoft Office, review-and-approval tooling (Frame.io, Ziflow, or client-portal equivalents), budget/burn tracking in Sheets or Excel.
  • Preferred: Adobe Creative Cloud literacy (enough to speak fluently with design/motion teams), Slack, DAM systems, media-trafficking familiarity (spec sheets, file packaging for The Trade Desk / Meta / Google).

What success looks like (first 90 days)

  • Full ownership of a rebalanced project book with all milestones and client dates held.
  • Budget burn gates and a single creative-approval tracker operating across your slate.
  • Integrated into client & project workflows

***Working hours are 9am-6pm est. regardless of location
