Senior Leave Administrator/Analyst
100% Remote W2 Contract Role Contract until 12/31 (potential extensions)
40hours/week

The highest priority qualifications for this role are State Leave expertise, Complex Leave Administration, Disability Vendor Coordination, and Employee Counseling. These are considered the most critical skills and serve as the key differentiators between a general HR professional and a true Leave Administrator. Candidates with strong, hands-on experience in these areas will be given the highest consideration.

Key Duties & Responsibilities:
• Administer Family and Medical Leave Act (FMLA) programs, ensuring compliance with federal, state, and local leave regulations.
• Notify employees of leave policies, procedures, eligibility requirements, and available benefits.
• Review leave requests, determine eligibility, facilitate the certification process, and distribute required leave documentation.
• Prepare and send leave-related correspondence, including approval, denial, extension, and return-to-work communications.
• Serve as the primary point of contact for employees regarding leave of absence questions and concerns.
• Coordinate and manage complex leave cases involving multiple benefits, including FMLA, paid family leave, disability, workers’ compensation, and company leave programs.
• Partner with workers’ compensation vendors and internal stakeholders to ensure leaves are administered concurrently when appropriate.
• Coordinate with Short-Term Disability (STD) vendors regarding claim notifications, employer statements, and claim status updates.
• Maintain and update employee leave records within HRIS and benefits administration systems.
• Process and communicate payroll-related leave transactions, including pay authorizations, vacation, sick leave, and other leave-related adjustments.
• Audit and reconcile leave data between benefits administration systems, disability vendors, and payroll records to ensure accuracy.
• Monitor leave activity and provide reporting on leave utilization, trends, frequencies, and qualifying reasons for leave.
• Stay current on federal, state, and local leave laws and provide guidance regarding compliance requirements and program administration.
• Educate and counsel employees on leave rights, benefits continuation, return-to-work requirements, and available resources.
• Advise managers, HR partners, and leadership on leave policies, procedures, accommodations, and best practices.
• Develop and deliver leave-related training for managers, HR teams, and employees as needed.
• Manage leave files and documentation, ensuring accurate recordkeeping and compliance with regulatory requirements.
• Gather, organize, and report leave and disability claim information from vendors, HR, and management teams.
• Collaborate with cross-functional partners including Payroll, Benefits, HR, Risk Management, and third-party vendors to ensure seamless leave administration.
• Maintain a high level of confidentiality when handling employee medical and personal information.

Ideal Candidate Qualifications:
• 3+ years of experience administering FMLA, ADA, State Leave, Paid Family Leave, and other Leave of Absence Programs.
• Strong working knowledge of federal and state leave laws, including FMLA, ADA, PWFA, workers' compensation, and state paid leave programs.
• Experience coordinating leave cases with disability carriers, third-party administrators (TPAs), and workers' compensation vendors.
• Proven ability to manage complex leave cases involving overlapping leave types and benefits.
• Experience determining leave eligibility, reviewing medical certifications, and administering leave from intake through return-to-work.
• Familiarity with HRIS, benefits administration systems, payroll systems, and case management platforms.
• Ability to interpret policies, regulations, and legal requirements while maintaining compliance and minimizing risk.
• Strong employee relations skills with the ability to handle sensitive and confidential information with professionalism and discretion.
• Experience counseling employees, managers, and HR partners on leave-related policies, procedures, and best practices.
• Excellent written and verbal communication skills, including drafting employee notifications and management communications.
• Strong analytical and organizational skills with experience auditing leave data, reconciling reports, and ensuring data accuracy.
• Ability to prioritize competing deadlines and manage a high-volume caseload in a fast-paced environment.
• Experience developing reports and identifying leave utilization trends.
• Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
