They own and assist in monthly deliverables for financial client documentation as well as project management across multiple brands.ResponsibilitiesFinancial and Operational Coordination: Maintain team deliverables calendar and keep team updated on the status of tasks and client deliverablesCreate, support, and deliver monthly financial deliverables through effective management of team timelines, internal workflows, and client deadlinesProvide timelines and accurate documentation, communications, and status updates to keep all teams informedPrepare and distribute financial monthly deliverables to the greater team with clear direction on requirementsRoute materials for managers review/approvalPrepare and send out completed financial documents to clients meeting their deadlinesDistribute updates, meeting notes, reminders, and status communication to internal team membersOperational Support: Monthly asset audits: Review invoices for information accuracyLiaise with finance for necessary requestsAdministrative and operational support for the team and managerBe prepared for deliverables on an as needed basis: To attend meetings and take notes to share with the larger teamComplete any necessary job code requestsEmployee onboarding and offboarding supportLaunch Deck QAAd hoc reporting/client deliverablesCollaboration and Execution: Communicate effectively with managers and cross-functional teams around all levels of the teamDemonstrate attention to detail and accountability in execution of the assigned projects and deliverablesIdentify potential issues proactively and escalate when necessaryQualificationsMinimum of 18 months - 2+ years in operations or project management in a media agency setting1+ year experience using MS excel + MS suite (advanced excel skills a plus)6 months - 1+ year media systems and tools (examples: project management software, MediaTools, Mediaocean)Optional: HCP/Pharma media experience (background can include planning or investment)Previous experience supporting client financials and operational processesHighly organized with great attention to detailStrong follow through skills with the ability to manage multiple projects and deadlinesAbility to learn the basics of how the agency operations, workflows, and internal processesExcellent problem-solving skills with the ability to recognize and escalate issues appropriatelyMust be Excel proficient, enthusiast preferred, with a good understanding of equations, Pivot Tables, and VLOOKUPs functionsSelf-starter with a willingness to learnCollaborative team playerOur Publicis Groupe motto "Viva La Différence" means we're better together, and we believe that our differences make us stronger. This is the pay range the Company believes it will pay for this position at the time of this posting.
