Senior Administrative AssistantOdyssey Systems has an exciting opportunity for a Senior Administrative Assistant providing support to the Air Force Life Cycle Management Center-Ground Base Air Defense Sensor division (AFLCMC/ESG).The ESG Division manages efforts focused on developing, acquiring, fielding and sustaining programs that support worldwide communications, Battle Management, Command & Control, Intelligence, Surveillance & Reconnaissance (C2ISR), Air/Ground Surveillance, Time Critical Targeting, Combat Identification, Radar Imagery, Integrated Air/Missile Defense, and Mobile/Fixed C2ISR Performance, Exploitation & Dissemination Facilities.This is a full time position located at Hanscom AFB, Bedford, MA.ResponsibilitiesDuties include, but not limited to:Provide comprehensive administrative support to PK leadership and contracting teams.Manage daily taskers, suspense actions, action items, and organizational deliverables.Maintain PK official records, contract closeout files, trackers, and documentation repositories.Oversee personnel in-out-processing and maintain office documentation, calendars, and scheduling.Coordinate meetings, conferences, virtual sessions, and prepare agendas, minutes, and briefing materials.Manage KTFileShare, SharePoint, Teams resources, permission access, and inspection readiness.Support workflow management, office operations, and process improvement initiatives.Prepare official correspondence, reports, and leadership documentation.Disseminate program guidance, maintain leadership awareness of priorities, and respond to routine inquiries.Assist with DTS travel coordination and serve as VRO/TCO telephone focal point.Validate recurring reports and support ESGK training events and office activities.QualificationsMinimum Required Qualifications:Citizenship: Must be a US citizenClearance: Must be able to obtain an active Secret Security ClearancePreferred Qualifications:Education: Bachelor's Degree in a related field and 12 years of experience in the respective technical/professional discipline being performed, 5 of which must be in the DoD OR,15 years of directly related experience, eight of which must be in the DoD.Technical Skills:Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)SharePoint administration and document managementCalendar management and executive scheduling supportMeeting coordination and virtual collaboration platforms (Microsoft Teams, Zoom, WebEx)Action item, suspense, and workflow trackingPreparation of executive correspondence, reports, and briefing materialsRecords management and file maintenance in accordance with DoD policiesData collection, analysis, and administrative reportingExperience supporting DoD acquisition or program management officesKnowledge of Air Force organizational structures and administrative processesInterpersonal Skills:Strong written and verbal communication skillsExceptional organizational and time management abilitiesAbility to manage multiple priorities and competing deadlinesProfessional demeanor when interacting with senior military and civilian leadershipStrong attention to detail and accuracyExcellent customer service and stakeholder engagement skillsAbility to work independently with minimal supervisionStrong problem-solving and critical-thinking abilitiesCollaborative team player capable of working across diverse organizationsAbility to handle sensitive and confidential information with discretionAdaptability in a fast-paced, mission-focused environmentProactive mindset with a continuous process-improvement approachStrong relationship-building and coordination skillsAbility to anticipate leadership needs and respond effectivelyHigh level of professionalism, reliability, and accountabilityAdditional Information:Location: Hanscom AFB, MAOn-Site: This position requires the candidate to be on-site 5 daysCompany OverviewOdyssey is a world-class technical, engineering, and integration company serving the warfighting ecosystem with airborne integration, ISR, C2, and warfighter readiness capabilities.
