Position Summary:
The Security Badging Tech exists to maintain secure, compliant, and efficient physical access at UNMH, safeguarding patients, employees, visitors, and sensitive hospital areas in a regulated healthcare environment. The incumbent delivers specialized technical and administrative support for badging, access control, key management, panic alarm systems, vendor check-in, and related security technologies. This role upholds the integrity of confidential data and systems, processes access requests promptly, issues/revokes credentials and conducts audits. Ensure adherence to Hospitals and departmental policies and procedures. No patient care assignment.
Detailed responsibilities:
* BADGE - Responsible for the management of UNMH and Health System badge access system to include issue of new badges, ending access for terminated employees, data entry, troubleshooting entry problems,obtaining and controlling badge supplies, processing lost badge requests, and other badge related tasks
* KEYS - Assist with issuing and collecting keys; process and clear returned keys; maintain accurate records within the key database; and ensure proper control and inventory of all organizational keys
* CORRESPONDENCE - Assist in managing the Security Badging Office shared email inbox; draft and distribute confidential communications; and respond promptly to routine inquiries regarding departmental operations, policies, and procedures
* SYSTEMS - Maintain and manage the online security request system; review and process urgent requests promptly; and ensure all actions are completed in accordance with applicable systems, policies, and procedures
* SYSTEMS - Maintain and oversee the Canopy personal panic alarm system; input and update required employee information within the Canopy system; activate alarms for new staff and promptly deactivate access upon employee separation; troubleshoot and resolve system issues as they arise
* AUDITS - Oversee and conduct routine and special audits; track and document lost or stolen badges and keys; and perform periodic reviews of badge access permissions to ensure accuracy
* LOST & FOUND - Responsible for processing lost and found items
* VENDORS - Facilitate the sign-in process for approved vendors by verifying credentials within the authorized vendor database and ensuring compliance with the UNMH Vendor Visitor Procedure
* DATA - Accurately enter required information into the badge access system for individual users and large pre-scheduled groups; verify data for completeness and ensure timely processing
* SCHEDULE - Assist with scheduling large groups for badging as assigned or needed; independently plan, organize, and prioritize workload to ensure all scheduling activities are completed accurately and on time
* CLERICAL - Perform clerical functions as needed such as filing, typing, preparing minutes, reception desk coverage, photocopying, scanning, etc.
* TRANSACTIONS - Manage petty cash and collect payments for lost or stolen badges and keys; process daily cash transactions, reconcile credit card slips, and perform other financial duties as required; prepare and submit weekly cash deposits to the bank and hospital finance department
