Onsite Contract Design Services

Specialized Recruiting Group is seeking a Sales Coordinator to join a premier luxury design-build firm specializing in high-end residential and commercial outdoor environments.

We're looking for a Sales Coordinator to serve as the right hand to the firm's Head of Sales. This role rides along to prospect and client site visits, captures the photos, measurements, and notes from every meeting, and handles the administrative work that keeps the Head of Sales off the road. The goal is simple: more of the Head's time spent with clients and closing work, and a sales process where nothing falls through the cracks.

The ideal candidate already knows the landscape, nursery, or design-build industry, has supported a sales effort before, and can read a CAD landscape plan well enough to discuss it with a client and pull information from it. From sweeping estate gardens and handcrafted hardscape installations to serene water features and bespoke outdoor living spaces, the right Sales Coordinator will share the firm's artistry, precision, and unwavering commitment to quality. This is a strong fit for someone who wants to grow into a sales or project role with a luxury firm.

This is a direct hire position (no contracting or probationary period) with our client, who offers a competitive salary, performance and sales-based bonus opportunities, a health benefits package, and mileage reimbursement for site visits. You'll receive direct mentorship from the Head of Sales and a clear path to grow into a sales or project management role. If you're interested in working on prestigious, high-profile projects in a culture that values craftsmanship, creativity, and continuous professional growth, we'd love to speak with you.

Key Responsibilities

Site Visits & Client Meetings:

  • Accompany the Head of Sales to prospect visits, site walks, and client meetings.
  • Take photos, measurements, and detailed notes at every visit, capturing client goals, budget signals, and site conditions.
  • Review landscape plans and CAD drawings with the Head of Sales and clients, and pull quantities, dimensions, and scope details from them.
  • Support materials selection meetings with clients, including preparing samples, product information, and selection sheets.

Sales Administration:

  • Manage the Head of Sales' calendar, schedule prospect and client appointments, and confirm meetings.
  • Upload photos, measurements, and notes to Company Cam / CRM promptly after every visit, and keep client records current.
  • Track leads and active proposals, and prompt follow-up so no prospect goes cold.
  • Handle routine client communication, including scheduling, document requests, and status updates.
  • Build and maintain standardized templates and checklists for prospect visits, client intake, and meeting notes.

Proposals, Contracts & Handoff:

  • Assemble design-build proposals and contracts (GDB) from the Head of Sales' direction, including scope summaries, photos, and supporting documents.
  • Provide the design and estimating teams with complete site information, measurements, and client selections.
  • Document client selections and change order requests, and route them to the right people for pricing and approval.
  • Coordinate handoff of sold projects to the build team so every project starts with clean, complete information.

Desired Qualifications

  • 2+ years of experience in the landscape, nursery, hardscape, or design-build industry, or in a related construction or home-improvement role.
  • Experience supporting a sales effort, whether in sales, sales support, account management, or customer-facing project coordination.
  • Ability to read and interpret landscape plans and CAD drawings, including scale, dimensions, and plant and material callouts.
  • Comfort taking accurate site measurements and photos.
  • Strong organizational skills and follow-through, with the ability to keep many clients and deadlines moving at once.
  • Professional, confident communication with high-end residential clients.
  • Proficiency in Microsoft Office or Google Workspace.
  • Valid driver's license and reliable transportation for site visits.
  • Familiarity with estimating, proposals, or contract preparation is a plus.
  • Degree or coursework in landscape design, horticulture, or construction management is a plus.

All applicants must provide verifiable professional references and consent to a background check.
