Located roughly two hours from Atlanta and less than an hour from Chattanooga, McLemore combines luxury hospitality with the natural beauty of northwest Georgia's High Country.The Sales Administrative Assistant provides administrative and clerical support to the Sales team at McLemore Resort, helping ensure smooth daily operations, accurate documentation, and excellent internal and external communication.
This role is essential to supporting group bookings, client correspondence, and general sales office functions.Employment Type: Hourly (Non-Exempt)Department: Sales & MarketingReports To: Director of SalesKey ResponsibilitiesAnswer and direct phone calls, emails, and inquiries related to sales and group bookings and enter into CRM systemProvide day-to-day administrative support to the Sales team, including scheduling meetings, site visits, and appointmentsPrepare, proofread, and distribute sales contracts, proposals, correspondence, and reportsMaintain and update client and account records in the resort's CRM or booking systemAssist with preparing materials for BEOs, resumes, client presentations, site tours, and sales meetingsCoordinate with other departments (Front Desk, Conference Services, Banquets, Housekeeping) to support group and event logisticsTrack and organize sales documents, contracts, and files, both physical and digitalAssist in generating sales reports, tracking leads, and monitoring booking paceOrder and maintain sales office supplies and marketing collateral inventorySupport the planning and execution of client site visits, including greeting visitors and preparing and dropping welcome amenities.Assist with group reservation updates as needed including entering rooming lists, making changes, pulling client rooming lists, and setting up group billing in the property management system.Monitor group cut off dates and check with Conference Service Manager's on status on room blocks.Manage Hilton's FastPay system for group commission processing, including uploading contract, entering pickup and confirming group commission amounts.Perform other administrative duties as assigned by the Director of SalesQualifications — RequiredMinimum of high school diploma or equivalent (GED)Reliable personal transportationStrong verbal and written communication skillsProficiency with Microsoft Office (Word, Excel, Outlook)Excellent organizational skills and attention to detailAbility to multitask and prioritize in a fast-paced environmentProfessional demeanor and strong customer service orientationQualifications — PreferredPrior experience in an administrative, hospitality, or sales support roleFamiliarity with hotel/resort booking or CRM software – Delphi/Amadeus, PEP, R&IExperience in the hospitality or tourism industryWork Environment & Physical RequirementsPrimarily office-based within the resort settingMay require occasional movement throughout the resort property to support site visits or eventsAbility to sit, stand, and use a computer for extended periodsOccasional lifting of office supplies or event materials (up to 20 lbs)ScheduleHourly, non-exempt positionFull-time or part-time hours available; may require occasional evenings or weekends to support sales events or client visitsBenefits PackageCompetitive SalaryDaily Pay!Team Member Hotel Discount ProgramUniforms Provided for most positionsBenefits - Health, Dental, Vision, Life Insurance, and other supplemental optionsPaid PTO401k with employer matchFood and Beverage DiscountsTuition ReimbursementIf you think you bring the ideal blend of skills, attitude and teamwork, sprinkled with a love for natural beauty and the resort life, this could be the perfect home for you!
