General Definition of Work

Performs skilled administrative support work maintaining school security, providing administrative support to school staff, receiving and processing incoming calls and visitors, preparing and maintaining manual and computerized files and records, preparing reports, and related work as apparent or assigned. Work is performed under the limited supervision of the Principal and Department Director.

Qualification Requirements

Associates/Technical degree, or equivalent combination of education and experience preferred.

Knowledge, Skills and Abilities

  • General knowledge of standard office practices, procedures, equipment and office assistance
  • General knowledge of business English, spelling and arithmetic
  • General knowledge of district and departmental programs and policies and terminology
  • General computer knowledge required; preferred experience with Microsoft Office 2000 and educational applications
  • Ability to meet the public effectively
  • Ability to read and understand moderately detailed policies, procedures and job related materials
  • Ability to type and transcribe dictation accurately and at a reasonable rate of speed
  • Ability to make arithmetical calculations
  • Ability to express ideas clearly and accurately orally and in writing
  • Ability to operate standard office equipment and related hardware and software
  • Ability to learn specialized equipment and software based on district needs
  • Ability to follow oral and written directions
  • Ability to establish and maintain effective working relationships with associates, students, parents, and the general public

Reports to

Principal/Department Director

Essential Functions

  • Work with check in/out of students
  • Place telephone calls to parents regarding students attendance and progress in school; act as receptionist, greet visitors, answer telephone, provide information, forwards calls to appropriate party
  • Receive, prepare and maintain records and files
  • Receive and coordinate service and facility requests
  • Receive, process and distribute incoming and outgoing mail and material; maintain mailing lists, files and indices
  • Assist students, parents and staff with completion of standardized records or documents
  • Direct visitors to appropriate party
  • Monitor visitors and volunteers entering building or department offices
  • Collect and prepare data for records and reports
