Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations for travel arrangements, and generally being a helpful and positive presence in the workplace.To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly.
Administrators will be required to use Microsoft Office and should demonstrate proficiency with Microsoft Word, Outlook, PowerPoint, and Excel. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.Duties and ResponsibilitiesArranging staff meetings and scheduling appointmentsAnswering or transferring phone calls and taking messages for select staff membersMaintaining the office calendarWrite memos, meeting minutes, and email inquiries, correspondences, invoices, and receipts, and create spreadsheets and other reports as neededKeeping the office database and filing system up to date and organizedPurchasing office, classroom, kitchen, and food suppliesAssisting with managing work with vendorsAssist with organizing both internal and external community eventsMaintaining social media accountsPerforming some Human Resources Management functionsWorking with office equipment vendors to purchase and maintain office equipment such as printers and fax machinesSorting and delivering all mail and faxesHandling office tasks, such as filing, generating reports and presentationsCollate and distribute mailWrite and edit documents from letters to reports and instructional documents.Create and maintain filing systems, both electronic and physicalManage accounts and perform light bookkeepingPreparing agendas for meetings and making arrangements, such as cording catering for staff meetings, luncheons, committee meetings, board meetings and other administrative meetingsWork in a standard office environment with extensive public contact and frequent interruptionsPhysical Requirements.
