Records Administrative AssistantJGMS Government Services is seeking an experienced Records Administrative Assistant to provide on-site administrative and records management support to our client's Mission Support Division.The successful candidate will support records management activities by scanning, organizing, tracking, and electronically filing documents in accordance with federal records management standards and site-specific requirements. This position will also provide general administrative support, assist with records management projects, and work closely with Mission Support Division personnel to ensure assigned tasks and priorities are completed accurately and on schedule.Job Duties and ResponsibilitiesScan documents using approved hardware and softwareOrganize and place scanned documents into designated electronic folders in accordance with established proceduresMaintain logs of scanned and filed documents for audit and tracking purposesEnsure records are handled in compliance with federal records management standards and site-specific requirementsBuild, maintain, and regularly update documents used to track records management tasks and projectsCoordinate and communicate with Mission Support Division personnel to understand priorities and complete assigned workMonitor established deadlines and communicate potential delays or issues to managementAssist with efforts to streamline and improve records management processesRecommend process improvements to increase records management efficiency and effectivenessReview routine correspondence and other administrative documents for completenessPrepare draft and final correspondence, including forms, letters, and memoranda, using established templates and proceduresSupport additional records administrative activities and special projects as assignedRequired Qualifications:High school diploma or equivalent; associate's degree is preferredMinimum of two years of relevant experience in records management or administrative supportProficiency with document scanning hardware and softwareFamiliarity with electronic filing systemsStrong attention to detail and organizational skillsAbility to maintain confidentiality and appropriately handle sensitive documentsProfessional appearance and courteous mannerAbility to effectively manage priorities and work within tight deadlinesClear and concise written and verbal communication skillsDesired Qualifications:Associate's degreeExperience with federal records management policies and proceduresStrong customer service and teamwork skillsExperience proactively resolving issues and improving administrative or records management processesExperience facilitating communication between departments or organizational groupsKnowledge of file management, transcription, and administrative proceduresExperience implementing new policies and processesSecurity ClearanceCandidates must have DOE L Access prior to the contract start date.
