This is a key front-facing role, as the Receptionist is the first point of contact for clients, visitors, and employees. The ideal candidate will present a professional and courteous image while providing exceptional service and support to ensure all requests are addressed promptly and effectively.The individual in this role will ensure consistent front desk coverage, seamless client service, and smooth coordination of reception duties. Strong communication and collaboration skills are essential.This position is onsite Monday through Friday, 8:00AM – 5:00PM.Responsibilities:Greet and assist clients, guests, vendors, and employees in a courteous and professional mannerDirect and escort clients and visitors to the appropriate meeting roomAnswer and screen incoming calls via Microsoft Teams, redirecting or taking messages as necessaryMonitor the LA office reception inboxAssist clients with general inquiries about the firm's services and proceduresSchedule and confirm conference room and hoteling reservations within the LA OfficeHandle catering requests for internal and client meetings; assist with processing catering invoicesAssist with on-site meetings to ensure all needs are met and address real-time guest requestsDistribute and track temporary employee access cardsEnter all visitors into the building security and visitor management systemsMaintain a tidy, welcoming, and professional reception area at all timesAssist with special projects as assigned by attorneys or the Office AdministratorPerform additional tasks as needed to support daily office operationsQualifications:High school diploma or equivalent required; associate's degree or higher preferred2+ years of reception or customer service experience, preferably in a law firm or professional office environmentExcellent verbal and written communication skillsStrong organizational skills and the ability to multitask in a fast-paced environmentProficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipmentProfessionalism and discretion when handling sensitive or confidential informationAbility to remain calm under pressure and respond with a client-service mindsetReliability, punctuality, and strong attention to detailFlexibility to work occasional overtime or adjust schedule as neededFriendly and approachable demeanorStrong sense of teamwork and a service-oriented mindsetSound judgment, proactive attitude, and strong problem-solving skillsThe primary location for this job posting is in Los Angeles. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate's qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $22.07 - $29.86 per hour.The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance.
