General Description:
Under the general direction of the Executive Director, this full-time position serves as a key front office and administrative support role for the Housing Authority. The Receptionist is responsible for maintaining daily office presence, greeting residents and visitors, answering and routing phone calls, supporting resident communication, coordinating agency newsletters and resident events, preparing Board of Commissioners meeting minutes, maintaining agency social media, and working with the webmaster to help keep the agency website current. The position requires strong organization, professionalism, initiative, confidentiality, and the ability to support general staff with administrative and program-related tasks as needed.
Essential Functions:
An employee in this class may be called upon to perform any or all of the following tasks. This list is not exhaustive, and the employee may be asked to perform other related duties as needed.
• Front Office Coverage: Opens the office each business day at 8:00 AM, provides consistent front office presence, greets residents and visitors, answers phones, routes calls, takes messages, and ensures the office remains responsive and professional during public hours.
• Resident Communication and Events: Coordinates and supports resident events, communicates event information to residents, assists with sign-in sheets and materials, and helps promote resident engagement and participation.
• Board of Commissioners Support: Develops, prepares, and maintains Board of Commissioners meeting minutes and related records in a timely, accurate, and organized manner.
• Newsletter Coordination: Coordinates, develops, and distributes the monthly agency newsletter, including gathering content, preparing announcements, highlighting resident information, and working with staff to ensure timely communication.
• Social Media and Website Support: Maintains agency social media updates and works with the webmaster to help keep the agency webpage accurate, current, and useful to residents, applicants, partners, and the public.
• Administrative Support: Assists general staff with clerical, communication, filing, scheduling, resident service, and project-based tasks as needed to support agency operations.
• Tenant and Office Records: Assists with maintaining accurate resident, applicant, and agency records while ensuring documentation is organized, current, and handled with confidentiality.
• Customer Service: Provides courteous, professional, and timely service to residents, applicants, vendors, community partners, and members of the public.
• Miscellaneous Duties: Performs other related duties as assigned by the Executive Director or designee.
Required Qualifications:
• High school diploma or equivalent.
• Strong customer service skills and the ability to maintain a professional front office presence.
• Excellent written and verbal communication skills, including the ability to prepare minutes, notices, newsletters, and public-facing content.
• Strong organizational and time management abilities with attention to detail and follow-through.
• Proficiency with Microsoft Office Suite and basic office technology.
• Ability to handle confidential information with discretion.
• Ability to support multiple staff members, manage routine priorities, and assist with resident-facing communication needs.
Preferred Qualifications:
• Experience in a housing authority, local government, nonprofit, property management, or resident services setting.
• Experience preparing meeting minutes, newsletters, public notices, or written communications.
• Experience maintaining social media pages, website content, or other public communication platforms.
• Knowledge of HUD regulations, Fair Housing principles, or public housing operations.
• Previous experience in an administrative, clerical, communications, or front office role.
Physical Requirements:
• Ability to perform sedentary work and occasionally lift up to 25 pounds.
• Prolonged periods sitting at a desk and working on a computer.
Work Environment:
• Office environment with regular interaction with residents, applicants, staff, vendors, and members of the public.
• Requires consistent front office coverage, frequent phone communication, and routine computer-based work.
Regular Work Schedule:
The Receptionist position is a full-time role responsible for opening the office each business day at 8:00 AM and maintaining consistent phone coverage, visitor support, and front office presence during agency office hours. The standard schedule is Monday through Thursday from 8:00 AM to 4:00 PM and Friday from 8:00 AM to 12:00 PM, unless adjusted by the Executive Director to meet operational needs.

• Friday: 8:00 AM 12:00 PM
The employee is expected to be present at 8:00 AM to open the office and remain available for phone calls, visitor assistance, resident support, and general office presence until 4:00 PM Monday through Thursday. On Fridays, the employee is expected to provide office coverage until the office closes at 12:00 PM.
