This role is responsible for front office duties, as well as coordinating with internal staff, departments, vendors, and customers.
This position will work cross-functionally with all departments and office management tasks, such as ordering supplies, organizing office spaces, working with vendors, as well as supporting the Human Resources department through confidential tasks, employee engagement events, and more.How You Will ContributeMaintain a professional and courteous corporate image in the reception area and have the responsibility of managing inbound and outbound phone callsWelcome on-site visitors, determine the nature of business, and announce visitors to appropriate personnelMonitor visitor access when requiredArrange internal and external meetings, such as:Candidate interviews via phone, video, and/or in-person meetingsCompany events, team meetings, onsite and offsite events, coordinate conference rooms when needed and assist with catering requestsCoordinate travel arrangements for onsite interviews or meetingsAssist in planning company events that involve communicating announcements, ordering supplies, event set up, coordinating with vendors and moreServe as the main point of contact for facilities management, submit work orders, and communicate with staff as requiredMaintain office kitchen, lounge, and lunchroom areas by stocking and ordering supplies as neededTrack office inventory, stock supplies, and maintain all items in an organized mannerMaintain the relationship for delivery vendors (USPS, FedEx, UPS, etc.) and distribute employee mail and shipping items as neededServe as the liaison with facilities vendors including water, vending machines, landscaping, security, HVAC, pest control, etc.Provide general administrative support as neededPerforms other clerical duties as needed, such as filing, photocopying, binder creation and collatingAssist Human Resources Department as neededOther duties as assignedYou Will HaveMinimum 2 years of recent experience in an administrative support role with office functionsAssociate or Bachelor's Degree is a plusExcellent phone demeanor and ability to handle multiple calls simultaneouslyProficiency in Microsoft Office tools (Word, Outlook, PowerPoint, Excel) and accurate typing skillsAbility to exercise good judgment on highly sensitive and confidential mattersAbility to work independently with minimal direction, strong written/verbal communication skills, good grammar, strong organizational skills and attention to detail, ability to prioritize and multitaskPerform miscellaneous job-related duties as assignedUpbeat, creative, fun, and learning attitude is a mustWe Got You Covered!As a Great Place to Work Certified™ company, we are committed to offering the best to our employees.
