QME Master SchedulerIt is our goal to provide the finest Orthopaedic care possible. To ensure that we hire and retain the quality of staff needed for implementing our philosophy of service, we have adopted the following job description for this position.The position is an hourly position. Workdays are typically scheduled within a five-day workweek. Hours and days may vary based on operational needs.

All scheduling complies with applicable California wage-and-hour-laws.Many of the responsibilities require that you have a working knowledge of computers and the ability to make proper use of the programs utilized in this office, or those that may be necessary to meet the needs of the practice.Basic Function:Under the supervision of the Director of Workers' Comp Department and his/her designees, the QME Scheduler shall be responsible to coordinating physicians' schedules, monitoring rescheduling and cancellations and assisting the workers compensation department in any other areas deemed necessary.Job Summary:The QME Master Scheduler is responsible overseeing a high-volume, multiple provider calendar for Qualified Medical Evaluations (QMEs) Independent Medical Examinations (IMEs) and Agreed Medical Evaluations (AMEs). The QME Master Scheduler is the primary gatekeeper between injured workers, applicant attorneys, insurance defense counsels, the state worker compensation board, and Medical Evaluators. The QME Master Schedule will come into contact daily with confidential patient files and must be able to handle this information with the highest degree of privacy, discretion, and professionalism.Duties and Responsibilities:Handle all cancellations and reschedules for med-legal appointments.Coordinate physicians availability with Clinic Master CoordinatorResponsible for sending out notices regarding reschedulesGenerate Letters in ECW and saving them to appropriate folders.Review providers schedules - add/ close locationsUpdate QGENDA when changes are made in APMReschedule / Bumps / CancellationsSend actions to Lorraine -> Send email to referring sourceTake cancellation/reschedule calls when AA/DA call inReschedule/cancel when requests are sent to AO QME emailEmail confirmation of cancellation & send actionUpdate historians if QME is within 4 weeksUpdate managers if QME is within 4 weeks so slots can be filled by clinicOpen QME dates for schedulersIf QME date is full to review to see what other day can be used if any and reach out to Brittney S for assistanceEmail providers if needing to ask for time back to schedule QMESAssess travel time for providers from each locationCall patients to confirm QME appointments dailyIf patients want to reschedule and attorneys are involved, call/email them to let them know patient is requesting to cancel/reschedule.Call attorneys to secure patient's phone numbers.Update QME Verification 2 log with any confirmationsAssist department with intakesUnfreeze/freeze schedules for schedulers when needing to add STATSMaintain Excel List for reschedules and daily log.Any other duties may be assigned by the Manager.Requirements:To perform this job successfully, an individual must be able to perform satisfactorily job duties, demonstrate excellent work habits, deliver superior service, and exhibit the highest degree of professionalism. Serve as an employee for Arrowhead Orthaepedics, following the code of conduct, displaying the highest level of ethics and integrity in action, thoughts and conduct. Skill and Education Requirements:High school diploma or equivalence required.Associate or bachelor's degree preferredAbility to type a minimum of 40 words per minute.Skill in operating a computer and scanner, as well as software programs including Microsoft Word, Excel, Outlook and WordPerfect.Excellent analytical skills, and great attention to detail.Excellent verbal and written communication skills with patients, providers, and staff.Ability to maintain patient confidentiality and comply with HIPAA regulations.Attention to detail and accuracy in documentation and recordkeeping.Must be well versed with anatomic and medical terminologyBilingual a plus.Certificates, pre-employment requirements:Required to submit and obtain a negative result in the pre-employment drug screening.Ability to pass a background check.E-Verify Participation NoticeAO is an E-Verify employer.
