Purchasing & Operations Coordinator

Ideal Candidate

The ideal candidate is organized, accountable, proactive, and highly detail-oriented, with the ability to take ownership of purchasing while stepping in to support Shipping & Handling and Account Management when needed.

This person must be comfortable working in a fast-paced biotechnology environment where accuracy, reliability, and adherence to established procedures are critical.

 This is an onsite position and requires the ability to work onsite Monday through Friday.

The primary responsibility of this position is purchasing, with a focus on creating and managing purchase orders for laboratory equipment, supplies, materials, and other operational needs. The position will also support the Shipping & Handling Department during periods of high volume and provide backup support to the Account Management Director when needed.

Because this role will be involved in the processing and shipment of orders, the ability to follow procedures precisely, verify information, and maintain a high level of accuracy is essential.

Key Responsibilities

Purchasing

• Manage day-to-day purchasing activities and create, issue, and track purchase orders, including POs for laboratory equipment and supplies.
• Communicate with vendors regarding quotes, pricing, availability, lead times, deliveries, and order issues.
• Monitor outstanding orders and coordinate with internal teams to ensure products and supplies are available when needed.
• Maintain accurate purchasing records and assist with resolving purchasing, receiving, and invoice discrepancies.
• Manage the lab vendors accounts; manage the application and annual renewal process

Shipping & Handling Support

• Assist the Shipping & Handling Department during periods of high volume or when additional support is needed.
• Process and verify customer orders, including product, quantities, lot information, shipping addresses, and other critical order details.
• Assist with the preparation, packaging, documentation, and shipment of allogeneic products according to established procedures.
• Coordinate with carriers and assist with tracking, delivery issues, delays, and other shipping-related matters.

Account Management Backup

• Provide backup support to the Account Management Director during vacation, sick leave, medical appointments, or other absences.
• Assist with order processing, logistics coordination, customer requests, and communication with internal departments and customers.
• Monitor pending orders and ensure operational activities continue smoothly during the Director's absence.

Accuracy & Attention to Detail

Due to the nature of our products and operations, exceptional attention to detail is required. The individual must be able to accurately process orders, verify critical information, follow SOPs, and identify discrepancies before they impact a customer, shipment, or internal operation.

Qualifications

• Experience in purchasing, procurement, operations, logistics, order processing, or a related field.
• Demonstrated experience creating and managing purchase orders, preferably for laboratory equipment, supplies, or biotech-related materials.
• Experience in a biotechnology, pharmaceutical, medical, laboratory, or life-sciences environment strongly preferred.
• Experience with shipping, logistics, or handling biological or temperature-sensitive products is a plus.
• Strong organizational and time-management skills with the ability to manage multiple priorities.
• Exceptional attention to detail and accuracy.
• Strong written and verbal communication skills.
• Ability to follow detailed procedures and SOPs consistently.
• Proficiency with ERP, purchasing, inventory, and order-management systems.
• Ability to work independently while supporting multiple departments.
