This role ensures all branches and administrative facilities operate efficiently, safely, and in compliance with regulatory requirements.
Responsibilities include maintaining the work order system, managing contracts and certificates of insurance, coordinating ff&e procurement, tracking inspections and maintenance, and managing invoices and vendor performance.Essential duties and responsibilities:Work order system managementMaintain and administer the facilities work order system, including:Assigning and tracking work ordersNew user setup and verificationManaging and tracking routine inspections (fire extinguishers, backflow preventers, hvac, etc.)Updating and maintaining equipment listsDocumenting routine maintenance for hvac systemsRegulatory tracking for elevators, boilers, annual fire inspections, and other mandated inspectionsContract administrationManage all aspects of support service contracts, including:Jira approval process for contract documentsUploading and organizing contract documentsDocumenting and tracking start/end dates, termination clauses, renewals, and other key contract termsManaging and verifying vendor certificates of insurance (cois)Monitoring vendor performance, milestones, and deliverables against contract termsFf&e procurementActively manage procurement, delivery, and installation of furniture, fixtures, and equipment (ff&e), including:Office furniture (chairs, desks, sit/stand desks)Routine banking equipmentDesigning and implementing ff&e approval processesMiscellaneous service coordinationAssist with service calls and vendor management for various operational services:Shred/document destructionTrash/waste managementBottled water servicesPest controlMusic servicesMultifunction printers (mfps)Financial oversight & invoice managementReceive and distribute all property management-related invoicesCommunicate and coordinate with accounts payable regarding open items or discrepanciesProactively monitor, track, and reconcile monthly utility invoicesReview, verify, and approve vendor invoices for accuracy, contractual compliance, and proper cost allocationProperty & facilities managementOversee day-to-day operations of all bank-owned and leased propertiesEnsure facilities are clean, safe, secure, and aligned with brand standardsDevelop and implement preventive maintenance programsCoordinate repairs, renovations, and capital improvement projectsMaintain a comprehensive facility equipment list, ensuring all assets are documented, tracked, and properly maintainedConduct regular property inspections and compliance auditsCompliance & risk managementEnsure adherence to all local, state, and federal regulationsMaintain documentation for leases, contracts, cois, inspections, work orders, and regulatory complianceSupport internal and external audit requests related to facilities and vendor managementOversee life-safety systems, emergency preparedness, and business continuity planningKnowledge, skills, and abilities:Strong knowledge of commercial real estate, lease management, and regulatory complianceExperience managing vendor contracts, certificates of insurance, and invoice approvalsProficiency with work order management systems and facilities software platformsKnowledge of hvac systems, fire safety systems, fire extinguisher services, backflow prevention, pest/rodent control, shred/document destruction, and music servicesFf&e procurement and approval process experienceStrong project management, organizational, and communication skillsHigh attention to detail and strong internal control mindsetTravel between branch and office locations as requiredOccasional after-hours availability for emergencies or urgent vendor mattersMinimum qualifications:Bachelor's degree in business administration, real estate, facilities management, or engineering preferred5+ years of experience in property management, facilities management, or vendor/contract administrationExperience within a financial institution or regulated environment preferredWhat do I do now?Apply with us!Refer this opening to others!Disability accommodation statement Centier Bank is an equal employment opportunity/affirmative action employer and is committed to providing reasonable accommodations to individuals with disabilities in the employment application process.
