Project Coordinator


Location: Jupiter, FL

Pay: $30.00 per hour

Schedule: Monday–Friday, 8:00 AM–5:00 PM

Work Arrangement: Remote, with occasional in-office training as required

Contract: 6 months


Job Summary

We are seeking a highly organized, customer-focused Project Coordinator to support the successful execution of customer orders and projects. This position serves as a central point of coordination between customers, sales, engineering, operations, supply chain, procurement, and other internal teams.


The Project Coordinator will oversee projects from quotation and order entry through manufacturing, delivery, commissioning, invoicing, and final project closeout. The ideal candidate is detail-oriented, proactive, professional, and comfortable managing multiple priorities while maintaining strong customer relationships.


This is primarily a remote position; however, the employee may be required to attend occasional in-office training. Work arrangements and requirements may be subject to change based on business needs.


Key Responsibilities


Project Coordination & Order Management

  • Review contracts, specifications, plans, purchase orders, and related project documentation to understand requirements and communicate them effectively to internal teams.
  • Coordinate projects from order receipt through completion, including schedules, deliverables, documentation, manufacturing milestones, and customer communications.
  • Process and manage customer orders, ensuring accuracy, pricing validation, commercial compliance, and timely entry into internal systems.
  • Organize and facilitate project kickoff meetings and align internal teams on scope, schedules, deliverables, and customer expectations.
  • Monitor project schedules and proactively communicate milestones, risks, delays, and status updates.
  • Coordinate shipping, delivery, invoicing, startup, commissioning, and project closeout activities.


Customer Support & Relationship Management

  • Serve as a primary point of contact for customers, sales teams, suppliers, and internal departments throughout the project lifecycle.
  • Provide prompt, professional, and thorough responses to customer inquiries.
  • Maintain regular communication regarding order status, project schedules, delivery commitments, and issue resolution.
  • Investigate and assist with resolving customer concerns involving billing, delivery, documentation, or project execution.
  • Maintain accurate customer records, contracts, quotations, project documentation, and correspondence.


Technical & Cross-Functional Coordination

  • Coordinate the preparation, review, and submission of technical documentation, data packages, drawings, submittals, O&M manuals, and other customer deliverables.
  • Work closely with Engineering, Operations, Procurement, Supply Chain, and Sales to ensure project requirements are met.
  • Coordinate with vendors and suppliers regarding product availability, schedules, pricing, and compliance with project specifications.
  • Assist with identifying project risks, developing solutions, and escalating issues when appropriate.
  • Support quotation activities, pricing and availability requests, and other pre- and post-order sales support functions.


Continuous Improvement

  • Participate in initiatives designed to improve customer experience, project execution, and operational efficiency.
  • Support special projects and perform other duties as assigned.

Qualifications

Education & Experience

  • Associate's or Bachelor's degree in Business, Engineering, Supply Chain, or a related field preferred.
  • 3+ years of experience in project coordination, customer support, order management, account management, or a related role.
  • Experience with engineered products, manufacturing, industrial, municipal, utility, water, or wastewater industries preferred.
  • Experience managing customer orders, quotations, invoicing, and project documentation preferred.


Skills & Technical Knowledge

  • Strong proficiency with Microsoft Office Suite.
  • Experience with ERP, CRM, or project management software preferred, such as SAP, Salesforce, AS400, or similar systems.
  • Ability to interpret technical drawings, specifications, and project documentation preferred.
  • Ability to work independently while collaborating effectively with cross-functional teams.
