The Specialist is responsible for travel administration, invoice preparation/reconciliation, procurement of goods and services, and general administration across multiple disciplines.Essential Functions:Travel AdministrationAdd, update and remove employees from travel siteResponsible for administration of travel pcard groupReconciliation of travel pcardInvoice Preparation/Discrepancy ReconciliationPrepare consolidated invoicing from multiple vendors for review and approval of Director and Vice President and subsequent payment by AP departmentProcurement of Goods and ServicesInput order requests.Review approved order requests and provide purchase orders to vendors.Update procurement data base (shipping addresses, alert IT of new users and of changes to reporting structure).Liaison with internal customer; provide assistance investigating order discrepancies.Maintain weekly/monthly data from vendorsGeneral administrative support for Supervisor, Director and VP of Strategic SourcingPrimary back up to Facilities CoordinatorRequired Skills and Experience:The ideal candidate will possess a minimum of a High School Diploma plus 1-3 years of relevant experience in a fast paced, environment. Recent Bachelor Degree candidates are encouraged to applyEnergetic and focused personality with a demonstrated ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlinesMust be highly proficient and fully functional in all Microsoft Office applications and able to effectively utilize all available office management technologyProfessional, articulate and able to use good independent judgment and discretion.Outstanding verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.Willingness to take direction and critical feedback, and adapt to improve skills and effectiveness with a positive attitudeAllied Universal® is an Equal Opportunity Employer.
