Project AdministratorAssisting the Office of Architecture – ARB Review team. As a Project Administrator, you will be responsible for performing administrative and technical tasks to support efficient operations of architectural and engineering projects. You will support the project manager (and other staff as needed) by performing a variety of tasks related to documentation, organization and communication.
You will communicate orally and via telephone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Additional duties include, but are not limited to the following:Organize and schedule meetings and appointmentsPrepare and distribute correspondence, transmittals and formsPrepare a variety of technical documents, distribute, and track/follow-upManage documentation; maintain documentation in proper locations on network systemAssist project manager and design staff in preparation of reports, spreadsheets, presentations, etc.Provide administrative support for the function as needed and undertake project tasks as required or as requested by supervisor or project managerAssist with Architecture Review Board related mattersRespond to inquiries received from users in the Enterprise Architecture Review mailbox in a timely fashionAttending various ARB meetings, taking meeting minutes and following up on action itemsSkill Requirements:Ability to work at computer workstation for extended periodsAbility to work independently and collaborativelyStrong organizational and planning skillsExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong Proficiency in MS Office suite, emphasis on Excel along with knowledge of Adobe AcrobatJira Cloud and SharePoint experience would be a plusExperience Requirements:Bachelor Degree or related experience (3 to 6 years)Office experience in the field of Architecture, Engineering, or Software Development preferredKnowledge of office management systems and proceduresThe top 3 must-haves for this role are:Proven organizational skillsProven multitasking abilityDevelopment lifecycle knowledgeThe top 3 “nice to have” that would separate a successful candidate from their competition are:Agile experienceJira CloudSharepoint knowledgeThis role is supporting our SDLC Transformation Initiative.The interview process will include a phone or zoom screening. No test is required.Working hours are 9 – 5 EST.The duration of this contract is until December 31, 2024, but we are open to extension based on the person’s productivity.Training will be provided on internal material required for the job.The day to day will involve organizing meetings and following up on emails about the Architecture Reviews and SDLC workflows.
