Project And Office CoordinatorThe Project & Office Coordinator plays a dual role in supporting both project delivery and day-to-day office operations. This position partners closely with Project Managers, regional leadership, and administrative teams to ensure projects are executed efficiently while maintaining a well-organized and high-functioning office environment.This role is ideal for a highly organized, proactive professional who thrives in a fast-paced environment, enjoys balancing multiple priorities, and can confidently support both technical project teams and local office needs.Key ResponsibilitiesProject Coordination & DeliverySupport Project Managers in planning and executing design and construction projects of varying size and complexityCoordinate activities between internal teams and external partners, including architects, engineers, contractors, and vendorsServe as a key point of contact for project stakeholders, facilitating communication and ensuring alignmentAssist in managing project documentation, schedules, and coordination efforts to support successful deliveryParticipate in both office-based and on-site project activitiesOffice Operations & Administrative SupportPartner with Team Leaders and administrative staff to support daily office operationsCoordinate facility-related needs including maintenance, vendor management, office equipment, and space planningSupport office meetings and events, including logistics, scheduling, and preparationProvide administrative support to office leadership, including calendar coordination and ad hoc requestsProcess invoices and track office-related expenses as neededCoordination, Communication & LeadershipManage multiple priorities while maintaining strong attention to detail and organizationServe as a reliable point of contact for both project and office-related needsFoster a positive, collaborative office environment through strong communication and teamworkExercise sound judgment and problem-solving skills in a fast-paced, dynamic environmentMinimum QualificationsAssociate's degree in a related field or equivalent professional experience required; Bachelor's degree preferredMinimum of five (5) years of demonstrated experience in document control and project controls, preferably within a design or engineering firm environmentAdditional QualificationsExperience supporting pharmaceutical, biotechnology, or advanced technology projects preferredIntermediate to advanced proficiency in Microsoft Office (2013 or later) and PDF software requiredProficiency with traditional project controls systems, databases, and methodologies requiredStrong verbal and written communication skills with the ability to collaborate effectively across teamsExceptional time management and organizational skills, with the ability to manage multiple priorities
