Project AdministratorThe Project Administrator will support Project Managers and Project Coordinators by performing a variety of administrative tasks that help ensure the smooth operation of project-related functions.Duties and Responsibilities (Essential Job Functions)Perform clerical and administrative tasks such as drafting letters, memos, invoices, reports, and various documentsCreate and manage electronic project foldersGather and maintain subcontractor documentation and required formsMonitor and replenish office supplies; place and follow up on supply orders as neededProvide administrative support to senior staff, including the Executive Director and other leadership team membersAssist with travel arrangements and related software use for executives and field personnelSchedule and attend meetings; take notes and prepare meeting minutesReceive and review incoming communications or memos and distribute relevant information to staffCoordinate shipping needs for international project locationsHandle sensitive matters with confidentiality and discretionRequest access credentials for government project locations and coordinate required information with subcontractors and agency contactsPerform other assigned dutiesRequirementsEducation and ExperienceBachelor's degree in Business Administration with 1–2 years of related experience; orCommunity college program with 3+ years of related experience; orHigh school diploma with 5+ years of related experienceKnowledge, Skills, and AbilitiesAbility to manage responsibilities independently and work effectively in a team environmentStrong verbal and written communication skillsExcellent attention to detail and organizational abilitiesProficient in Microsoft Office applicationsKnowledge of administrative and office systems including word processing, spreadsheets, email, and file managementFamiliarity with general office procedures and construction-related documentationCapable of handling multiple tasks with a high level of accuracy and reliabilitySupervisory ResponsibilitiesReports to the Project Coordination SupervisorWorking ConditionsLight physical activity including lifting or moving lightweight materialsRegularly required to sit or stand, bend, and reachMust have a valid driver's license and be insurable under company policyBenefitsCMS offers competitive pay and a benefits package including:Health, Vision, and Dental InsuranceAFLAC401(k) with company matchPaid Time OffLife InsurancePaid Holidays
