The position works under the direct supervision of the Project Manager, with guidance from the Director of Project Accounting, and assists in the development and execution of the billing strategy of the Project Execution Plan. This position must demonstrate strong organizational and time management skills and strong communication and client service skills.Major duties and responsibilities include:Processing all material and subcontractor invoices for approval and inputs into the accounting systemReviewing subcontractors pay application information, including current contract value, stored materials, owner direct purchasing, and retainage, and communicating irregularities to the Project Manager and Subcontractor as appropriateRequesting, collecting, and filing partial and final releases of liensTracking and assisting with subcontractor insurance compliance renewalsRequesting and obtaining valid W-9s for new vendorsCollecting and processing Certified Payrolls when requiredReceiving and processing payroll for hourly employeesAssisting with onboarding of new team membersAssisting with the project setup process, including but not limited to Job Cost Budgets and Staff Rate verificationAssisting in review of owner contracts to identify contractual terms for accounting and billing requirements with the project team and aiding in documenting said requirements in the Contract AbstractAttending 'pencil-copy' meetings with subcontractors and OwnersAttending assigned projects' PSR reviews and meetingsRoutinely performing reconciliation and audit reviews to identify any over/under variances; communicating effectively and pursuing resolutionWorking with the Project Manager to create and monitor Billing Forecasts and Change ManagementPreparing and processing Owner billings on a schedule of values in accordance with contract requirements and MCC Standards (in ERP)Generating billing backup detail and reconciling billings against job cost per MCC StandardsPreparing Job Cost Corrections as requiredReviewing and providing guidance with NR forecasting to ensure its accuracy with respect to actual cost incurredManaging the AP/AR process consistently in VISTACoordinating vendor payments with Corporate AP staff to ensure company policy is followed prior to payment, including adherence to pay-if-paid provisionsSetting up and maintaining general subcontractor correspondence and accounting files in the document control systemHelping maintain records of computer-related equipment and preparing equipment transfers as neededAssisting the Superintendent or Safety Manager in maintaining OSHA documentation and postingsAssisting in Project Close Out processDeveloping a basic understanding of various delivery methods through experience with a variety of project sizes and type; working across multiple projects with varying sizes and complexitiesProviding general administrative support to the project team as requestedResponsible for conducting themselves in accordance with our Guiding Principles and exhibiting attributes matching the Way We Work.Other duties as assignedJob skills and abilities guidelines include:Strong computer skills are required.
