Purpose of Position

Manage UTA’s Advanced Placement Summer Institute and basic administrative processes within the Honors College

Essential Functions

  • Planning and Execution of the UTA Arlington Advanced Placement Summer Institute
  • Abiding by College Board and university guidelines, plan and execute all aspects of the AP Summer Institute (APSI). Includes determining courses, budgeting, hiring, customer service and recruitment.
  • Successfully managing relationships with College Board and UTA partners, thus ensuring continued strong relationships.
  • Work with school districts to register teachers and secure payment.
  • Work with vendors to secure materials and supplies.
  • Work with departments across the university to set up services for on-campus events and online events.
  • Provide the highest level of customer service to participants throughout the entire process.
  • Ensure all digital representations of UTA APSI are current and utilize the most current best-practices in digital marketing, audience engagement, and customer support.
  • Maximize the resources at UTA to ensure all processes utilize the most current technological resources and innovation.
  • Hire and supervise staff (professional and students) necessary for successful execution of APSI.
  • Train and Supervise Administrative Staff and Oversee Administrative Processes
  • Train and supervise administrative staff in Honors College.
  • Ensure cross-training of administrative staff.
  • Ensure administrative staff meet standards and deadlines expected by UTA and other agencies for the task performed.
  • Act as an approver of time for administrative staff in the College.
  • Act as an administrative backup as needed to ensure processes are completed during peek busy periods.
  • Maintain a College calendar, leading staff to ensure timely planning and execution as needed.
  • Work with staff and web designer to lead our annual web refresh.
  • Honors Events
  • Assist in the execution (and planning as necessary) for major Honors events, such as Honors Kickoff, Honors Research Symposium, Senior Celebration, Major Events, etc. that do not directly conflict with peak periods of APSI.
  • Participate in Honors meetings/trainings.
  • Actively participate in “all-staff” activities.
  • Represent Honors on university committees as appropriate.
  • Performs other duties as assigned.

Required Qualifications

  • Bachelor's degree in Higher Education Administration, Business Administration, Public Administration, Communications, Education, Management, or a related field and five (5) years of progressively responsible experience in program administration, event management, higher education administration, business operations, or a related field nine (9) years of an equivalent combination of education and experience.

Preferred Qualifications

  • Familiarity with College Board and AP. Administrative experience in an institution of higher education.
  • Experience working with for-profit ventures involving digital sales platforms and customer service.
  • Experience managing temporary staff.

Knowledge, Skills & Abilities

  • Supervisory experience and experience with administrative processes, preferably at a state institution.
  • Experience with budgeting, reconciling accounts, purchasing, procurement, and working with external agencies.
  • Advanced skill with Microsoft Office Suite.
  • Familiarity with basic managerial accounting practices.
  • Advanced interpersonal and communication skills, especially in electronic media.
  • Time management and detailed organizational skills.

Work Schedule

  • Monday through Friday; 8:00am through 5:00pm.
  • Requires occasional evening or weekend hours.

Working Conditions

  • May work around standard office conditions.
