Program CoordinatorLocation: Houston, TX FLSA Class: Exempt Responsible to: Head of Engineering ServicesPosition Summary: The Program Coordinator supports Technical Program Managers (TPMs) in executing cross-functional engineering programs. This role focuses on coordination, task tracking, tool management, and documentation to ensure engineering work progresses on time and with clear visibility. The Program Coordinator is responsible for maintaining program structure and execution discipline across engineering teams, including Design Engineering, Project Engineering, Operations Engineering, and supporting functions such as Procurement, Construction, Assets, and Operations.

This role does not own technical decisions or program strategy but plays a critical role in enabling efficient execution, communication, and accountability across teams.Essential Duties and Responsibilities: Program Coordination & Execution SupportSupport TPMs in managing active programs across engineering and operations teamsCoordinate tasks across Design Engineering, Project Engineering, and Field EngineeringTrack deliverables, dependencies, and milestones across multiple workstreamsFollow up with owners to ensure tasks are progressing and completed on timeIdentify delays, gaps, and misalignments and escalate to TPMsTask & Tool ManagementMaintain program tasks and workflows in tools such as Asana, Jira, or similar platformsEnsure tasks are clearly defined, assigned, prioritized, and time-boundTrack backlog health, task aging, and completion ratesSupport weekly updates to ensure tools reflect current program statusHelp enforce standard usage of tools across engineering teamsDocumentation & Knowledge ManagementOrganize and maintain program documentation, including: meeting notes, engineering deliverables, process documents, program artifactsEnsure documentation is structured, up to date, and accessibleSupport creation and maintenance of: process flows, communication matrices, RACI charts, training materialsReporting & VisibilitySupport preparation of weekly program status reportsMaintain dashboards and trackers for: task progress, milestone status, risks and issuesEnsure data accuracy and consistency across reporting toolsProvide inputs for engineering business intelligence and reportingMeeting Coordination & Follow-upsSchedule and coordinate program meetings led by TPMsCapture meeting notes, decisions, and action itemsMaintain action trackers and follow up with ownersEnsure closure of action items and visibility into outstanding workRequired Qualifications:Bachelor's degree in Business, or related field (or equivalent experience)2–5 years of experience in program coordination, project coordination, or engineering support rolesExperience using project management tools (Asana, Jira, Smartsheet, etc.)Strong organizational and task-tracking skillsAbility to manage multiple workstreams simultaneouslyPreferred Qualifications:Experience working in Electrical engineering, Mechanical Engineering, Construction, Energy, or Industrial environmentsExposure to cross-functional program or project environmentsFamiliarity with engineering workflows, deliverables, and terminologyExperience supporting TPMs, PMs, or engineering leadershipThe above statements are intended to describe the general nature and level of work being performed by employees assigned to this classification.
