Temp to Perm Executive Assistant for Private Equity Firm in Dallas, Texas
Responsibilities
- Successfully represent this Private Equity Founding Managing Director (FMD) and the Senior Investment Team to external stakeholders
- Manage all aspects of daily operations for the FMD and principals
- Oversee heavy, ever-changing, calendar and books appropriate appointments utilizing creative time management skills to enable the executive to maximize his productivity and use of time
- Prepare extensive domestic & international travel itineraries and manage the entire travel process, ensure accuracy of travel itineraries (flight, hotel, transport, etc.)
- Provide detailed scheduling and briefing materials for travel, meetings, and speaking engagements
- Monitor heavy phone and e-mail volume
- Greet and professionally welcome any in-office clients, investors, and portfolio executives on daily basis
- Ability to manage needs and concerns of the FMD during non-traditional business hours
- Complete accurate expense reports as well as processing invoices for payments for multiple employees
- Ensure the smooth running of an office on a day-today basis by liaising with staff, suppliers, and clients
- Planning and coordinating company events and annual meetings
- Assist other Private Equity members (approximately 9 – 10 other individuals) on an as needed basis
- Office management duties such as ordering supplies, keeping the office clean, facilitation of anything with building management, etc.
Requirements
- Candidate must have excellent written and verbal communication skills, polished and professional presentation, and social skills
- 5+ years of Executive Assistant or similar experience
- Superior writing and report presentation skills
- Exceptional clerical skills and proficiency with Microsoft Office applications
- Positive attitude and the ability to be proactive and anticipate needs
- Exceptional organizational and efficient administrative skills
- Proven proficiency with technology including computers, iPhones, iPads, and general current technology
- Able to handle highly sensitive and confidential materials
