Job SummaryReporting directly to the Pretrial Court Services Director, responsible for performance a wide range of advanced office administration duties for the Pretrial Court Services Department. * Funding for this position will be effective 10/01/2026. Examples Of Work PerformedProvides customer service to the public and staff via telephone, email, or in personAssists in annual budget process by collaborating with department leadership on equipment needs and other departmental costs for budget developmentAssist in managing daily calendars for department leadership and department calendarsCreates and schedules meetings, including coordinating with both internal and external agencies on meeting availabilityTracks and monitors various budget reports and spreadsheets, including maintaining all financial documents related to department spendingPerforms purchasing coordination for the department, to include reconciliation/oversight of p-card use, generating purchase requisitions, processing invoices, maintaining relationships with suppliers, serving as liaison with county Accounts Payable (A/P) and Purchasing departments, and preparing end-of-fiscal year reportingServes as the office liaison for court agendas, facility maintenance, supply orders, invoices, budget preparation, conference scheduling and travel arrangementsMaintains inventories and other office supplies for the departmentAssists with updating policies and proceduresPrepares and submits agenda items for required purchases and approvalsReviews, collects, transcribes, and processes paperwork and prepares documents for electronic useMaintains department records, as well as oversees retention and storage for department filesSchedules meetings involving internal and external department leaders and records meeting minutesAttends all meetings and trainings, as requiredReadily complies with departmental and county-wide policies and proceduresPerforms special duties as assignedOrganization RelationshipsReports directly to – Pretrial Services DirectorDirect Reports – NoPhysical DemandsPosition involves prolonged sitting at a workstation, reading, visual examination of documents, reaching, standing, walking, twisting, bending, repetitive motions, and occasional liftingEnvironmental FactorsWork is primarily indoors in an air-conditioned environmentIrregular HoursWork outside of the normal office hours (Monday-Friday 8 a.m.
